    SNAPSHOT:

In this fast-track, permanent role, you’ll be Under the direction of the Global Marketing Manager. The Event Coordinator will be responsible for planning successful events that advance the recognition of the company and product. The Event Coordinator will also assist in coordinating field sales and surgeon training seminars (both virtually and in-person).     Immediate fast-track opportunity for an Event Coordinator in Orange County, CA, who's key responsibilities will include:

    • Support congress sponsorship strategy and congress logistics as directed by supervisor, including booth design and build, AV storyboarding and creation, onsite assistance, budget management, advertising development (i.e., Digital or print ads, flyers/handouts), and shipping/tracking materials, coordinating with outside vendors as appropriate.
    • Update and maintain global congress sponsorship calendar.
    • Organize congress sponsorship planning meetings, take and archive planning meeting notes.
    • Support field team at major and minor conferences (ASCRS, ESCRS, and AAO). Activities include but are not limited to scheduling meetings with customers, arranging dinners, sending invitations, hotel arrangements and organizing ground transportation. Prepare and ship show materials, facilitate the registration process for events and track RSVPs.
    • Support field sales and surgeon training strategy and logistics as directed by supervisor.
    • Assist with training event scheduling and material preparation and coordination
    • Process and track presentation/material updates
    • Manage the LMS system and track all training
    • Coordinate materials for training website
    • Coordinate meeting presentations and onsite materials for training events
    • Support the document approval process for marketing and training materials
    • Process and track invoices and PO’s for marketing and training events.
    • Develop, implement, and track success of email campaigns developed to promote events for internal and external audiences.
    • Coordinate logistics for marketing, practice development and clinical training webinars.
    • Coordinate with Quality Systems department to receive approval for new vendors.
    • Responsible for managing any equipment that the company uses for marketing, training, and education purposes. This may include marketing materials and supplies, computer equipment, LCD projectors, simulation models, instruments, and other equipment necessary to deliver the types of training and education that the company provides.
    • Assist in other duties (any department) projects as needed.

    Competence Requirements:

    • Communication Skills: Excellent written and verbal communication skills; confident, articulate, and professional speaking abilities.
    • Networking Skills: Strong social skills for representing the company in public, during media events and at conferences. Ability to interact and build rapport in a short time.
    • Organizational Skills: Ability to organize and prioritize work to meet deadlines; remains calm under pressure with effective planning and time-management.
    • Computer Skills: Proficiency with Microsoft Office programs - Word, Excel, Outlook, Power Point.
    • Ability to navigate Microsoft Teams and Zoom, including breakout rooms necessary. Experience with Photoshop and InDesign a plus. Social media savvy preferred.
    • Negotiating and Budgeting Skills: Ability to negotiate contracts with the right mix of preparation, tact, and confidence; capacity to forecast and track spend while managing invoices, proposals, and expenses.
    • Creative Thinking Skills: Ability to wow and engage event attendees in a creative way to advance the recognition of the company; actively seeks creative inspiration to fuel new ideas.
