OFFICE MANAGER
Reports to: VP of Human Resources
FLSA: Non-Exempt
Role: Support Services
Location: Tigard, Oregon
Our Company seeks a dynamic, Office Manager that is self-motivated and highly organized that can jump in and contribute to a dynamic team environment while maintaining a reliable, personable, team-orientated disposition. The Office Manager will provide support performing Human Resources duties as directed by the VP of Human Resources. The Office Manager will be responsible to accurately maintain and control the accounting transactions, while applying Generally Accepted Accounting Principles (GAAP. ESSENTIAL JOB RESPONSIBILITIES (INCLUDE BUT NOT LIMITED TO):
· Strong customer service orientation, and ability to work effectively with leaders and employees at all levels of the organization.
· Responsible for E-PSL and E-FMLA administration (COVID-19), tracking and communication to employees and appropriate Senior Leaders, EHS professional(s) and supervisor(s).
· Responsible for working with designated supervisor to provide completed weekly spreadsheet to company-designated third-party administrator regarding unemployment claims for each company.
· Supports the recruiting process by managing open requisitions, job postings, and interview scheduling.
· Track, monitor and report on the status of all open job requisitions.
· Responsible for coordinating travel arrangements as necessary for candidates and new hires.
· Responsible for auditing personnel/medical/payroll files, workers compensation/L&I folders and I-9s semi-annually and as directed by the VP of Human Resources.
· Responsible for scheduling semi-annual Leading with Emotional Intelligence Workshops to include tracking, reservations, meals, etc. to include all new office employees.
· Responsible for scheduling off-site workshops to include tracking, reservations, meals, etc.
· Complete all required work in a timely and accurate manner and ensure that all needed paperwork/filing is completed.
· Maintain Asset log in ViewPoint as assets are assigned at SRSM-keys, cards, vehicles, etc.
· Pick up and distribute mail. Send Snyder WA mail weekly. Responsible for FedEx/USPS.
· Responsible for calendar administration for the conference room.
· Complete credit applications for vendors/suppliers/subcontractors for other offices.
· Maintain Computer Inventory as needed by the IT Director.
· Maintain swag inventory as needed by the Marketing Manager.
· Responsible for maintaining and ordering office supplies.
· Responsible for maintaining the postage machine.
· Maintain and update the yo-deck team screen.
· Disinfect common areas.
· Provide support as needed to the Executive team.
· Show ability to consistently recognize and deal with priorities.
· Proactively anticipate problems and present solutions related to document management.
EDUCATION/REQUIREMENTS:
· Two-year college education in business administration or other related field is desired, but not required.
· Equivalent work experience is acceptable in lieu of college education.
SKILLS/KNOWLEDGE/ABILITIES REQUIRED:

· Excellent computer skills including advanced knowledge of Microsoft Suite and ViewPoint.

TRAVEL
No regular travel is anticipated unless deemed necessary for trainings or other Company needs.
WORK ENVIRONMENT This position operates the majority of the time in a typical office environment, spending time at a desk, typing at a computer, talking with people in person and on the phone, taking notes and using standard office equipment such as computers, phones, scanners and photocopiers.
PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. While performing the duties of this job, the employee is regularly required to talk and hear. This position is largely a sedentary role; however, some filing is required. This position requires the ability to occasionally lift files, office products and supplies, up to 25 pounds and open filing cabinets and bend or stand as necessary.
