Soccer Shots Central Jersey - Part Time Business Manager
Objective: We are a children's soccer experience for children ages 2-8, but we are also a rapidly growing business in need of an organized and motivated individual. The Business Manager controls and coordinates accounting and budgeting and ensures the financial integrity of the business. Additionally, the Business Manager may oversee compliance (HR and franchise), office management, and administrative functions of the business, as described below. The Business Manager reports to the owner(s) of the Company and must maintain confidentiality in all aspects of client, staff and Company information. Although this job is part time at the moment, there is definitely a potential that this will grow into a full-time job.
You MUST have day time availability to answer phones. Some hours may be done remotely, but most will be done at our office in Princeton.
Accounting and Budgeting Responsibilities:
Maintains Company’s financial records in Quick Books or similar accounting software
Performs seasonal and annual budgets and analyses
Prepares annual Company financial statements
May assist in tax record preparation, may assist in tax form prep and payment
Opens Company mail -- pays invoices, records revenue, and deposits checks
Runs earnings reports and submits monthly royalty payments
Assists in collection of payment from customers
Performs Company employee payroll and bi-monthly instructor payroll
Conducts internal audits and “spot checks”: reviews income and expenses, investigates questionable data
Pays attention to economy when purchasing supplies, negotiating pricing, booking travel, etc.
HR and Franchise Compliance:
Assists in new staff orientation, reviews policies with staff
Maintains complete personnel files for employees – employee compensation agreements, W-4 withholding certificate, Form I-9, Background check, signed safety sheet, signed confidentiality and non-compete agreement, signed employee manual, resume and cover letter, job description, documented training events, salary history, documents related to performance reviews, and any documented disciplinary actions
Maintains complete contractor files – contracts/agreements, signed safety sheets, background checks, signed confidentiality and non-compete agreements
Maintains time off calendar
Maintains corporate compliance – Insurance, background checks, franchise renewals, etc.
Maintains legal files
Office Responsibilities:
Communicates with Landlord re: building maintenance, office utilities, security, etc.
Supplies the office with cleaning, bathroom, kitchen, and other office supplies.
Manages relationships with phone, internet, copier, and office cleaning vendors
Assists in general office expansion, design, and décor
Maintains office calendar
Maintains office vehicle—maintenance, inspections, registration, insurance
Assists in staff events, including routine meetings as well as special events – prepares conference room and other office spaces for these events
Administrative:
Assists in planning, scheduling, and recording (into online reg) all four program seasons
Creates and maintains master instructor schedule
Helps prepare seasonal marketing items – registration forms, final reminders, posters, brochures, etc.
Organizes and manages the registration and enrollment process – enters new registrations into online reg, creates classes and groups, communicates changes with instructors and school directors, communicates directly with customers
Prepares and assemble participant certificates and prizes
Assists in equipment-set preparation, distribution, and collection
Assesses inventory of equipment, prizes, and supplies and submits necessary orders with SSF, as needed
May serve as a contact person for school directors and parents
Assists in customer communication pieces – preparing and sending newsletters, conducting NPS surveys, etc.
