    The Eclipse Operations Specialist is responsible for working directly with assigned branches and districts along with their management teams to optimize performance in inventory, billing, customer service, and have discretionary responsibilities within the Eclipse system. This position will work closely with management at all levels of the organization to monitor Eclipse queues, identify training needs, design effective training, and conduct training.

     

    KEY RESPONSIBILITIES

     

    Responsible for oversight of Eclipse, SSM, and other internal tools.  The Specialist will provide Eclipse expertise to the field, and play a key role in designing and conducting scheduled and as needed training through in-person events and remotely using collaboration tools. The specialist will monitor each assigned branch’s process flows to ensure the branch is current and running efficiently. The specialist will use Queues and Reports to identify areas that need improvement and keep all levels of management informed of findings. The specialist will be responsible for problem-solving based on feedback from leadership. The Specialist will also be responsible for performing audits down to the branch level.

    ESSENTIAL DUTIES & RESPONSIBILITIES

    Responsible for overseeing the following Queues and Areas:

    • Customer Calling Queues – Non-released orders, backorders, late orders and unbilled directs
    • Remote Order Entry Queue – Orders not closed or worked from the queues and EDI errors
    • Unapproved Accounts Payable Queue – Overdue payables
    • Purchase Order Expedite Queue – Buyer’s backorders
    • Procurement Confirmation Queue – Research and finalize procurements not ordered
    • Return Goods Queue – Material not being returned
    • Invoice Preview Queue – Timely processing of invoices
    • Eclipse Dashboard – Monitor for Red Flags
    • Transfer Register - Ensure transfers are completed including working through any discrepancies
    • Manifest Queue – Monitor all unclosed manifests
    • Warehouse Location Validation – Monitor negative quantities and for invalid locations
    • SSM (Sonepar Sales Management) – Keeping orders current and accurate
    • Provide useful and specific data to managers to aid in identifying areas of focus

    Additional responsibilities:

    • Identifies training needs and training gaps in close cooperation with Director of Eclipse Training and management team
    • Delivers group and individual instruction and training
    • Develops training curriculum and/or recommends or utilizes vendor programs that meet instructional goals and objectives
    • Develops training presentations to be utilized during course facilitation
    • Coordinates or performs administrative functions necessary to deliver and document training programs.
    • Evaluates the effectiveness of training and development programs and utilizes relevant evaluation data to revise or recommend changes in instructional objectives and methods.
    • Evaluates the quality of training courses and implements improvements
      • Assist with new Eclipse releases
      • Assist with/implementing new processes in the field
      • Level II support for Eclipse issues, using discretion in line with the companies values
    • Conducts a weekly review of all assigned branches utilizing the various tools provided

    Required Experience

     

    • 2 year degree AA
    • 4 year degree preferred
    • Three to five years related experience and/or equivalent combination of education and experience
