    Summary

    The Project Coordinator will be responsible for coordinating and managing the entire project from startup to closeout, including but not limited to: quoting, scheduling, project coordination, billing, submittal documents, and project close-out documents.  The Project Coordinator will be the primary administrative support between our Project Managers, vendors and our customers through the entire project process from quote request through completion.  In addition the Project Coordinator will support office staff in organization and management of billing and order processing.

     

    Essential Functions

    • Create new customers, jobs, and purchase orders for new projects

    • Receive factory quotes and compile in Eclipse system.

    • Coordinate with sales to establish sell price.

    • Prepare submittals for customer and engineering review.

    • Create pick tickets, purchase orders and tracking logs.

    • Track delivery dates and coordinate timely delivery to job sites.

    • Create and execute project work plans and revise as appropriate.

    • Manage day‐to‐day operational aspects of a project and scope.

    • Review deliverables prepared by team before passing to client.

    Manage project budget.

    Understand IES pricing model and billing procedures.

    • Resolve and/or escalate issues in a timely fashion.
    • Participate in training classes.
    • Perform any other duties assigned that contribute to customer service, branch profitability and company success.
    • Practices good interpersonal relations, using tact, courtesy, a positive attitude toward customers
    • and co-workers, pleasant telephone etiquette, and a general attitude as a representative of goodwill on behalf of the company at work or during company travel.
    • Handles difficulties with customers and co-workers with diplomacy and seeks assistance when
    • Resolves customer order problems and complaints promptly.
    • Assists with job set up by obtaining the following: job set up forms, submittals, purchase orders, and Vendor pricing.
    • Creates and maintains a detailed record for each project.
    • Performs order entry and checks the status to confirm lead times and availability.
    • Coordinate’s shipments of material to meet with customers schedule and time constraints.
    • Confirms that all billing is handled correctly.
    • Processes returns and credits. Handles all damages, incorrect material, and errors in coincidence with our vendors.

    Coordinates with the warehouse to manage stored materials for a project and arranges delivery of these materials.

     Supervisory Responsibility, work environment and physical demands

    • This position has no supervisory responsibility.
    • This position works in a normal office environment, with standard office equipment. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. 
    • Work is generally sedentary in nature, but may require standing and walking for up to 15% of the time.

    Required Experience

    • Associate's degree (A. A.) and two to four years related experience and training; or equivalent combination of education and experience.
    • Experience in the Electrical Distribution or Construction industry preferred, but not required.
    • Experience managing small projects from start to finish.
