The Sonoran Glass School is looking for a friendly, highly organized and detail-oriented Administrative Assistant to keep our school programs and front office running smoothly and efficiently. This is a great opportunity to assist our customers, students and employees with diverse projects and provide general administrative support.
You will have an interest and desire to be part of the Tucson Art scene and have interest in glassblowing, torchwork, and glass fusing. We are a small nonprofit of less than 10 employees, which means you have the opportunity to become a big part of our success.
The position entails a range of clerical tasks including answering phones, scheduling classes and managing calendars, greeting and checking in students for classes, giving tours of our school, keeping files organized, managing deliveries, creating correspondence, preparing reports or documents and other general administrative tasks. You may also be responsible for engaging in event planning and meeting setup and implementation.
You will work closely with the Administrative Manager as well as the Director of Shops, other employees and volunteers supporting our glass programs in Southern Arizona.
General Duties:
Answer phones, direct calls, take messages as needed
Check messages on the phone and return all calls
Give out class info via phone or drop-ins
Greet people as they enter the school and give school tours when needed
Keep track of school mailing list and keep it up to date
Oversee the class registration process using Google Calendar, notify students if classes get cancel, try to register people in other classes when classes do not happen
Assist with website and promotional pieces for the school
Required skills:
Must have excellent communication skills
Knowledge of Google workspace, Gmail, Google Sheets and Google Calendar
Knowledge of various computer programs: Microsoft 365, Wordpress, Constant Contact a plus
Willingness to learn
Knowledge of the glass arts a plus
Graphic design experience a plus
