Position Summary
At RGI Creative, every project begins with an idea—and the right materials bring that idea to life. The Sourcing & Procurement Specialist ensures our teams are equipped with the best resources, whether that means discovering innovative materials, sourcing specialized hardware, or negotiating vendor relationships. This role balances cost, quality, and timeliness while acting as a proactive partner to our designers, fabricators, and project managers. Think of this role as both explorer and orchestrator: scouting the market for the right resources, then coordinating their seamless arrival into our workflow.
Responsibilities & Accountability
Research, identify, and source diverse materials, hardware, electronics, and specialty components to support creative and fabrication needs.
Evaluate vendors for cost-effectiveness, quality, and reliability; negotiate favorable terms.
Build and maintain a robust supplier network to ensure innovation, flexibility, and risk mitigation.
Stay informed of industry trends through trade shows, market research, and vendor outreach.
Generate, track, and manage purchase orders in Foundation ERP. Maintain purchase logs and reporting.
Coordinate with Warehouse and Shop teams to ensure timely delivery, pickups, and staging.
Anticipate material requirements based on project schedules, reducing delays, and urgent requests.
Maintain Inventory catalogs as requested in the database software, ExhibitForce. Maintain the pricing database catalog for materials in the ExhibitForce software system.
Partner with Design and Fabrication teams to propose sourcing alternatives, material samples, and innovative options.
Work closely with Project Management to align procurement with budgets, timelines, and milestones.
Assist with operational and safety supply purchasing, supporting RGI’s culture of care and compliance.
Archive all purchase documentation and verify alignment with invoicing and job costing.
Provide weekly reports on purchase status, supplier performance, and cost-savings opportunities. Including, but not limited to, open PO reconciliation with the accounting assistant.
Ensure all procurement aligns with RGI’s purchasing flow and cost-code structure.
Benchmark sourcing practices against industry leaders and identify areas for advancement.
Recommend process improvements that enhance efficiency, sustainability, and cost control.
Share insights with leadership to strengthen RGI’s competitive edge.
Qualifications & Skills
Required:
2–3 years of experience in purchasing, procurement, or supply chain
Demonstrated ability to research and source specialty materials
Strong organizational and detail-oriented mindset
Proficiency with purchasing/accounting software; ERP experience (Foundation preferred)
Excellent communication, negotiation, and relationship-building skills
Preferred:
Bachelor’s degree in Business, Supply Chain, or related discipline
Professional certifications (CPP, CPSM, or similar)
Experience in design-build, fabrication, or project-driven procurement environments
