    POSITION SUMMARY

     

     

    The primary responsibilities of the Associate Purchasing Agent is to assist the purchasing team with the tracking, organizing, and administrative management of material purchase orders, take offs, will call orders, data entry, expediting, invoicing errors and other duties as assigned.  The Associate Purchasing Agent can assist in supplier identification and quotation activities, as well as participate in vendor business review meetings to help build and maintain supplier relationships.

     

    The Associate Purchasing Agent will be measured and developed in their performance as an entry level role working closely on various procurement activities, growing their process and product knowledge, thereby preparing them for advancement and creating diverse career experiences in this field.

     

    The ideal candidate is motivated to learn new skills and aspires to become the subject matter expert (SME)  in their position,  career field, and industry.

     

     

    WHAT YOU’LL DO:

     

     

    • Field incoming phone calls dealing with customer intake, inquiries, order issues, etc.
    • Work with other Purchasing Agents to input purchasing order data into multiple tracking systems (e.g. Microsoft Excel, SharePoint, windows and cloud based ERP, etc.)
    • Track all purchase orders to fulfillment
    • Partners with suppliers to follow-up on delivery dates and back orders. Tracks the status of all back orders and informs appropriate team members and departments of any issues.  
    • Work to solve logistic issues with internal and external teams to fill orders on time
    • Track and compare order quotes 
    • Assist in the management of 100+ POs/quotes daily - offers direct support to senior purchasing team members
    • Accurate and complete data entry in to the system and tracking
    • Ensuring all the POs have complete document back-up and is complete prior to sending for payment
    • Supports the RFQ, RFP processes to obtain product information such as pricing, availability, and delivery schedule.

     

     

     

    WHAT YOU’LL NEED TO BE SUCCESSFUL:

     

     

    • Demonstrated experience and intermediate knowledge of creating and using electronic tracking systems 
    • Basic time management skills with the ability to handle multiple projects simultaneously, while planning and executing timely, effectively, efficiently, and accurately
    • Basic analytical and problem solving skills, quality oriented, and strong attention to detail required
    • Ability to operate a personal computer using spreadsheet, word processing, data base software, and experience using ERP software. (COINS preferred)
    • Ability to work in a continuous improvement environment
    • Ability to work effectively with suppliers, customers, project management team, field staff, and accounting in a team environment

     

     

    WHAT YOU BRING TO THE TABLE:

     

     

     

    2-year Associates degree in Accounting, Business, Purchasing or Supply Chain Management required*

    Minimum 1 year professional experience in purchasing, accounting, supply chain management, or construction project coordination and in a role focused on customer service support

    • Senior level professional experience in Office Administration for a minimum of 4 years can be acceptable in place of the above experience
