ACCOUNTS PAYABLE SPECIALIST
SALARY STATUS: ADMINISTRATIVE NON-EXEMPT
JOB DESCRIPTION
This person will perform basic accounting functions to ensure all vendors and debtors are paid in a timely basis. This person will pay attention to financials, even the most minor to ensure accuracy and completeness. This role directly relates to the general business operation of the company and/or the company’s vendors. A primary component of the Accounts Payable Specialist role is the exercise of independent judgment and discretion related to the financials of the company. This person reports to the President and or COO.
ACCOUNTS PAYABLE DUTIES AND RESPONSIBILITIES
Include but are not limited to the following
- Enter Purchase Invoices timely and accurately.
- Enter Purchase Credit Memos/Sales Credit Memos timely and accurately.
- Invoice Customer for Drop Ships that are tied to Purchase Orders.
- Reconcile all vendor statements, research, and make corrections of discrepancies.
- Obtain missing invoices from vendors.
- Maintain the Billing email account.
- Communicate with vendors regarding payment/account balance.
- Sort and scan all invoices in a timely manner into SharePoint.
- Enter timely and accurate payments to vendors.
- Prioritize invoices in accordance with probability of cash discounts as well as other terms of payments.
- Distribute unknown or incorrect invoices and credits to their respective salesperson in a timely fashion.
- Give help in month end closing.
- Back up accounts receivable.
- Perform other responsibilities associated with this position as needed.
REQUIREMENTS:
- Self-motivated, dependable team member willing to do what it takes to get the job done right and meet or exceed client expectations.
- The ability to plan, organize and prioritize multiple and simultaneous projects in a changing environment.
- Five years or more experience in an accounting role.
- Minimum three (3) years accounts payable experience.
- Experience or familiarity with automated gate industry preferred.
- Proficient in Microsoft Suite products.
- Demonstrated ability to interact with all levels within the office, and with vendors.
PHYSICAL QUALIFICATIONS:
- Requires prolonged standing, climbing, bending, lifting and kneeling as necessary.
- Good manual dexterity, eye-hand coordination, physical fitness and sense of balance required.
ENVIRONMENTAL CONDITIONS:
- Work is generally performed in an office environment.
- May work additional hours beyond normal schedule based upon project schedules and vendor needs.
