    JOB TITLE

    Program Manager

    JOB DESCRIPTION

    A Program Manager is a full-time career. Utilizing strong multi-tasking skills and high levels of organization, Program Managers coordinate events and execute contracts by working with suppliers, resort/venue contacts and clients. Program Managers report directly to the Director of Operations. The Director will assign programs to the program manager and oversee all program specific and ongoing tasks.

    POSITION REQUIREMENTS

    • Excellent communication skills, both verbal and written
    • Computer knowledge including Excel, Word and Outlook
    • College Degree with focus on Hospitality preferred but not required
    • Flexible schedule including nights, holidays and weekends
    • Strong organizational skills and task management

    PRIMARY RESPONSIBILITIES

    • Develop and maintain client relationships

    • Work as a team with Account Executive(s) to execute contracts

    • Program transition and coordination

    • Create and execute program files

    • Verify and execute supplier contracts

    • Update suppliers of changes, etc leading up to and throughout program

    • Organize and maintain flight manifests

    • Utilize all resources available to effectively and efficiently operate program COMMUNICATE AND WORK WITH RESORT/VENUE CONTACT

    • Attend client/hotel pre-convention meeting with Account Executive

    • Discuss Program Agenda with Client and Support Staff

    • Generate and Distribute Agenda of Services with Program specs GENERATE MASTER SALES REPORT POST PROGRAM

    • Reconcile expenses GENERATE PART-TIME STAFF AGENDA SHEETS

    PROGRAM SPECIFIC TASKS

    • Dispatch all tours, dinners, transfers, etc. for assigned programs
    • Advance event locations with Account Executives prior to event start time
    • Remain at the event to manage heavy production related events and F&B events
    • Ensure Events, Tours, etc are staffed appropriately with well-informed staff
