Job Description
Southwestern Law School’s Registrar’s Office is responsible for conducting the registration process; planning and coordinating final examinations; maintaining student records, including grades, academic standings and awards; as well as preparing transcripts and bar certifications.
Reporting to the Registrar, the Exam Coordinator must create and execute a streamlined process for the administration of all exams and accommodated testing at Southwestern Law School. As the point of contact for all exam-related inquiries, the Exam Coordinator must be present for all exams.
PRIMARY RESPONSIBILITIES
- Coordinates exam details with faculty.
- Assists with the creation of the midterm and final exam schedules.
- Reserves exam rooms.
- Prepares testing materials.
- Sets up Examsoft each term; post exams in Examplify; notifies students when file is ready for download.
- Coordinates ADA accommodations with Accessibility Coordinator.
- Assigns student exam numbers for midterms and final exams each term.
- Supervises the proctors and provides them with their daily assignments.
- Conducts exam information sessions for students as needed.
- Oversees exam reconciliation and return to faculty and students
- Electronically tracks and schedules all requests for exam accommodations and reschedules individual student exams in the event of emergencies with approval of the Dean of Students.
- Participate in testing and implementation of new system upgrades.
- Interact in a pleasant and efficient manner with faculty, students, and staff in person, on the phone, and via e-mail.
- Explain academic and administrative policies; appropriately forward requests for exceptions to supervisor.
- Assist in maintaining and updating an efficient and accurate student records system in accordance with the policies of the American Association of Collegiate Registrar's and Admissions Officers (AACRAO) and the Family Educational Rights and Privacy Act (FERPA).
- Monitor access to student records.
- Other duties as assigned.
MINIMUM JOB REQUIREMENTS
- Bachelor's Degree (B.A.) or equivalent.
- Minimum of two to three years of experience working in an academic environment, preferably in a registrar's office.
- Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year-for-year basis.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
- Intermediate knowledge of MS Word; basic knowledge of MS Excel, HTML, internet browsers and email usage.
- Ability to quickly learn and clearly communicate detailed information.
- Ability to manage tight timelines and appropriately ranking the importance of multiple tasks.
- Ability to remain composed while responding to simultaneous requests for attention.
- Ability to provide excellent customer service.
- Accuracy and meticulous attention to detail.
- Highly organized; excellent time-management skills.
- Excellent critical thinking and listening skills.
- Excellent ability to identify and solve problems.
- Strong interpersonal and communication skills and the ability to work effectively and diplomatically with a wide range of constituencies in a diverse community.
- Ability to follow all law school policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
- Skill in the use of computerized student information systems.
- Skill in organizing resources and establishing priorities.
PAY RANGE - $26.85/HR – 28.85/HR
