Accounts Payable Specialist ****

Position Overview

We are seeking an organized, detail-oriented Accounts Payable Specialist to join our finance team. The ideal candidate will have expertise in managing and processing invoices, ensuring timely payments, and maintaining accurate records. Familiarity with Bill.com and QuickBooks is essential to streamline and enhance our current processes.

Role and Responsibilities:

• Review and verify invoices for appropriate documentation and approval before payment.
• Process invoices and payments via Bill.com and ensure accurate data entry into QuickBooks.
• Reconcile accounts payable transactions and prepare analysis of accounts.
• Monitor accounts to ensure timely payments and address any discrepancies or queries.
• Maintain vendor files, including setting up new vendors in the system and updating information as necessary.
• Prepare and perform check runs, electronic transfers, and ACH payments.
• Process employee expense reports and reimbursements.
• Produce monthly and ad-hoc accounts payable reports.
• Collaborate with other departments to resolve purchase order, contract, invoice, or payment discrepancies.
• Ensure adherence to internal controls, policies, and procedures.
• Assist with month-end closing activities.
• Stay updated on the latest functionalities and best practices related to Bill.com and QuickBooks.
• Provide support during audits related to accounts payable.

****Basic Qualifications:

• Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.
• Proficiency in Bill.com and QuickBooks.

Preferred Qualifications:

• Strong organizational and multitasking skills with a keen attention to detail.
• Excellent written and verbal communication skills.
• Ability to work independently and collaboratively in a team environment.
• Proficiency in Microsoft Office suite, particularly Excel.
