  • Responsibilities

    Office Manager Part-time (with the possibility for FT) The Office Manager will lead projects or subcomponents of larger, more complex projects to completion. Responsible for independent action on multiple projects as assigned. Tasks vary according to the priorities of the project and office. Responsibilities: • Assist in coordinating all site special events and Spear parties in partnership with the HR Manager • Backup the Accounting Department with Accounts Payables, Receivables, Certificates of Insurance, and projects as needed for coverage and support. • Coordinates registration of conferences, seminars, hotels, and air arrangements as requested for the Senior Vice President, Property Managers, and other team members. • Assuring the office is organized to improve efficiency and workflow. • Maintain office inventory and order supplies. Research and price comparison analysis for cost-effectiveness. Assist other sites as needed. • Coordinate the management of Konica (copier/fax/scanner), postage machine, phone system, and phone service provider at both the SMG office and all sites. • Mail processing and distribution (Interoffice Mail, USPS, UPS, FedEx, etc.). • Runs errands to the bank, post office, sites, etc. as needed. • Lead projects in collaboration with the Senior Vice President, HR Manager, accounting team, and site staff. • Ensure that new project development is timely, successful, and meets expectations. • Participate in new project development and the implementation of project-related activities for the company and/or sites. • Document and maintain current: reports on project development and progress, meeting minutes, decisions, schedules, budgets, and other pertinent records pertaining to all projects. • Implement and manage tasks in accordance with project objectives, and company guidelines and set timelines. • Assist staff with their project-specific activities in a timely and efficient manner, develop project plans, compile and analyze data, produce project reports, maintain project plans, and schedule meetings. • Prepare multimedia presentations and reports utilizing a variety of software applications. • Initiate and maintain contact with key personnel including staff, site managers, and external parties during projects and other tasks. • Participates as a member of project teams. • Update the Senior Vice President, HR Manager, and other staff on project details and changes in a timely manner. • Recommend alternative courses of action and implement changes when necessary. • Perform other duties as required. Qualifications: • Bachelor’s degree in Business Administration, a related field, or equivalent experience is a plus but not required. • 2 years of experience coordinating and planning projects. • Demonstrates excellent analytical, organizational, and time management skills. Utilizes independent judgment. • Strong interpersonal skills required to interact with all organizational levels; demonstrated ability to work appropriately with confidential information. • Demonstrate the ability to assess priorities and operate flexibly. • Ability to work independently, with little direction and outside involvement. • Ability to work in a team and meet performance deadlines in a dynamic environment • Excellent oral and written communication skills • Demonstrated ability to use computer-based tools including Outlook, Teams, MS Office, and Web-based platforms: LinkedIn, Social Media, and Yardi. • Ability to work with 3rd party vendors on special projects: IT, Web designers, and industry-specific vendors on a variety of projects. Compensation: $21 - $22 hourly
