    Job Description

    Primary Goals & Objectives:

    Work within cross-matrix teams to lead and develop office systems, policies, and procedures of Medical Aesthetics market research, as well as represent Market Research to Global Commercial Development, Finance, IT, Legal, ODC, OEC, and Purchasing, and other Allergan and AbbVie functions.

    Effectively manage the tactical execution of systems to multiple segments of the department and recommend most impactful and effective processes for successful development of said systems.

    Create an efficient, lean, and agile environment for the entire Market Research team which consists of employees and contractors/consultants.

    Supporting a multimillion dollar market research and analytics project load, with over 200 projects across many primary, secondary research and analytics suppliers.

    Major Responsibilities

    • Compliance Management
      • Prepare and distribute Project Notifications to researchers, vendors, and pharmacovigilance team.
      • Develop and maintain internal AA / AbbVie systems, such as Insight Farm, Business Insights Tracker, and Vault
      • Conduct regular audits and updates of internal AA / AbbVie systems, such as Insight Farm, Business Insights Tracker, and Vault to ensure data integrity.
      • Update internal AA / AbbVie systems with vendor Master Service Agreements (MSA) and MSA amendments
      • Coordinate project close-out by requesting reconciliation dates and necessary reconciliations within Insight Farm, Business Insights Tracker, and Vault.
      • Organize and administer pharmacovigilance (PV) training for vendors.
      • Collaborate with process experts from other departments to ensure the accurate creation of Pharmacovigilance (PV) IDs.
      • Create, monitor, ADCT, SET, and TPSE documentation and records, ensuring timely updates upon expiration.
    • Contract Management
      • Manage the contract lifecycle, including processing SOW’s, Amendments, Change Orders, etc for various teams, logging PO’s once issued, and ensuring proper documentation is sent for PV ID.
      • Act as primary contact between teams, procurement, and vendors
      • Maintain accurate contract documentation and records to track all PO’s on master sheet, budget tracker, and SharePoint
      • Set up new vendors as needed
    • Budget Management
      • Monitor departmental budget, including logging and reconciling incoming invoices and payments, and ensuring our budget aligns to targets year over year
      • Reconcile SAP Actuals with Finance department to make sure cross-over charges and budget spending are accurate

    Ad Hoc Requests

    • Perform routine audits of tracking of the project management spreadsheet.
    • Act as a point of contact for information inquiries, efficiently addressing or escalating requests as necessary with the pharmacovigilance team
  • Qualifications

    Qualifications

    • HS degree is required
    • 4+ years of administrative or corporate customer service experience
    • PowerPoint and Excel skills are required
    • Proficiency in SharePoint
