PARISH ADMINISTRATOR
REPORTS TO
This position is directly responsible to and is supervised by the Pastor and works collegially with the congregation’s staff. Responding to requests from congregational members is an essential part of the work; however, it will need to be established (over time and with help from congregational leaders) that not every request is of highest priority. The congregation’s Mutual Ministry Committee (to be established) is available for support, for annual review, setting of salary and other human resource needs.
JOB OVERVIEW
The person who fills this position must be committed to the ministry of Christ’s Church, though need not be a member of Saint John’s. This position requires a personality of compassion, understanding the need for discretion and confidentiality, as well as the ability to respond to the unexpected and to adjust priorities accordingly.
QUALIFICATIONS
· Ability to interact with persons graciously
· Understand need for confidentiality and discretion
· Ability to address multiple tasks, according to the needs of the congregation
· Training, experience in office practices
· Proficient with software programs and/or ability to learn quickly. This will include
collaborative software such as Google Suite
RESPONSIBILITIES AND DUTIES –
THE PARISH ADMINISTRATOR WILL BE IN THE OFFICE FROM 9 TO 3, MONDAY THROUGH FRIDAY. ADDITIONAL TIME, NOT TO EXCEED 40 HOURS TOTAL PER WEEK, MAY BE REQUIRED TO COMPLETE THE WORK ACCORDING TO THE CONGREGATION’S SCHEDULE.
BUILDING RECEPTIONIST
· Maintain welcoming atmosphere
· In the Office 9 – 3, M-F
· Greet persons coming into office – Assist as needed, according to policy
· Answer telephones appropriately
· Understand procedures for emergencies
· Handle incoming mail according to set procedures
· Assist service providers – with Property Committee
MAINTAIN CONGREGATION’S CALENDAR – Digital and Paper
· Program Schedule
· Building Schedule
COORDINATE COMMUNICATION – Print and Digital
· Worship Bulletin
· Newsletter (monthly)
· Emailed Newsletters
· Additional/Special mailings
· Additional Social media – needs development
· Booklet of Annual Reports
MAINTAIN CONGREGATIONAL RECORDS
· Membership database
· Process of securing information
· Register of Pastoral Acts
· Minutes of Council and Congregational Meetings (with Council Secretary)
PROGRAM SUPPORT FOR (priorities depend on time available and schedule)
· Staff
· Council
· Organizations and Committees
BUILDING COORDINATOR
· Maintain schedule of congregational activities
· Schedule outside groups according to policy
· Assist Building Committee in scheduling repair and maintenance, who will be in building, etc.
· Inform Custodian of schedule or other issues that affect work schedule or require extra effort
