    Job Title: Grants Coordinator

    Reports to: Assistant Director of the Office of Grants and Sponsored Research

    Campus: Queens

    Job Summary:

    Provides clerical support and serves as a point of contact for the Office of Grants and Sponsored Research. The coordinator will be adept at coordinating schedules, managing correspondence, maintaining electronic documentation and performing data entry and management of grant and research data sources (i.e. Microsoft Excel Spreadsheets, Banner, and forms) including data entry, sorting, culling data for reports, etc. The Coordinator reports to the Director of the Office of Grants and Sponsored Research and may periodically supervise student workers or a graduate assistants.

    Essential Functions:

    • Arrange and coordinate meetings (in person and virtual) for the Office of Grants and Sponsored Research personnel; managing remote meeting software (i.e. WebEx, Zoom, MS Teams, etc.), mainlining chat room oversight and documenting meeting notes as
    • Prepare and assist with schedules for grant submission and management
    • Oversee the maintenance of physical and electronic files, set up transitioning to electronic filing where possible, in accordance with Office of Grants and Sponsored Research electronic filing and records retention.
    • Type and copyedit documents, enter data into spreadsheet and various databases; answer phones, respond to emails and resolve inquiries daily.
    • Proofread, correct, and manage documents as required by the Director of the Office of Grants and Sponsored Research.
    • Arrange and coordinate all aspects of travel for the Office of Grants and Sponsored Research personnel.
    • Oversee the coordination and preparation of various materials for meetings and
    • Provide support for budget maintenance by processing check requisitions, payments, purchase orders, and monitor budgets.
    • Collaborate with internal and external constituents to problem solve and address issues across disciplines, establishing strong working relationships with Program Director and Grant Submitters.
    • Manage IRB software system - Cayuse IRB
    • Support project management by tracking deadlines and follow up steps, e. Institutional Review Board (IRB)
    • Performing other related duties as assigned

    This position manages Graduate Assistants and students Workers necessary.

    Work Environment

    This position operates in a professional office environment; This position is required to use standard office equipment such as personal computers, printers, etc.

    Physical Demands

    While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work and use controls; reach with hands and arms; climb stairs; communicate.

    Position Type/Expected Hours of Work

    Days and hours of work are Monday through Friday, 8:30 a.m. to 4:30 p.m.

    Travel

    Travel is primarily local and may include visits to the other NY campuses

    Required Education and Experience:

    • Bachelor's degree and 1 or years related experience or training, or equivalent combination of education and experience.
    • Proficiency in Excel, Microsoft Word, Access, PowerPoint, database applications and facility with the internet

    Preferred Education and Experience:

    • 3 or more years' experience with sponsored projects, preferably at an institution of higher education

    In compliance with NYC’s Pay Transparency Act, the annual/hourly salary range for this position is $45,400 .     This position may be relocated to any of St. John’s University’s physical locations at any time.
