    Job Description

    JOB SUMMARY

    The Administrative Assistant works as a team member performing administrative duties and provides support to Finance Department staff.  

    ESSENTIAL DUTIES & RESPONSIBILITIES

    The Administrative Assistant’s key areas of responsibility and duties include: 

    ESSENTIAL DUTIES: 

    • Perform administrative duties and provide support to Finance staff.
    • Perform clerical duties to include but are not limited to computer tasks, faxing, mailing, filing, copying.
    • Process Finance staff’s requests and provide relevant information in a timely manner
    • Assist with Agency and Program audits including year-end audit
    • Maintain files (soft and hard copies) for Accounts Payable, Accounts Receivable and other Accounting files.
    • Assists in the coordination and set-up of scheduled meetings 
    • Creates and modifies Word/Excel documents as directed
    • Handles the department office supplies orders
    • Ability to assist staff with daily questions
    • Performs data entry related tasks as directed
    • Other duties as assigned

    QUALIFICATIONS

    KNOWLEDGE, SKILLS & ABILITIES:

    • Must be highly motivated and a self-starter.  The ability to communicate with and relate to a diverse group of people including clients, community, and other staff.  Must have excellent organizational skills, keen attention to detail, and the capability to work in a fast paced environment.   
    • Demonstrated ability to set priorities and meet deadlines while producing high quality work
    • Must be adept in problem-solving, identify issues in a timely manner and have strong interpersonal skills
    • Must be dependable, able to follow instructions, respond to management direction in a timely manner
    • Professional demeanor and ability to interact with various personalities, displaying a good-natured, cooperative attitude
    • Good written and verbal communication skills

    EXPERIENCE:

    • Prior administrative assistant experience is a plus.

     

    EDUCATION:

    • High School Diploma

     

    DIRECT REPORTS:

    This position has no direct supervisory responsibilities.  

    COMPUTER SKILLS:

    • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
    • Ability to use widely supported internet browsers.

    CERTIFICATES, LICENSES AND REGISTRATIONS:

    • Valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.

     

    §  Valid automobile liability insurance.

    Status: Full-Time/Non-Exempt 

    Salary: DOE
