    We are hiring a full time, virtual position at Stacey Boehman Coaching, located in Louisville, KY. This is a salaried position with a health insurance stipend and 3 weeks vacation. The expectation is for 40hrs over 5 days a week, with some special exceptions for evenings and weekends during launches and events and occasional travel. (All transportation and meals are covered by the company during travel).

    As the Executive Assistant to the Chief Operating Officer, you will be our COO's right hand. Your deepest desire is to be concise, efficient, and attentive to all details. Being tactical is your super power. You have the honor and privilege of propelling this business to performing at its peak. This position gives you the opportunity to deploy your organizational and operational skills.

    • You are assertive. You get things done right and you are not intimidated to advocate for what you need. 

    • You are on east coast time or willing to work those hours.

    • You can anticipate what is needed.

    • You can follow processes and procedures.

    • You have flexibility and are available to work occasional evenings/weekends for travel days and for events held throughout the year. 

    • You are an excellent communicator. Written and verbal.

    • You are great at learning through instructional videos and trial and error. You have lots of patience. 

    • You have a high threshold for change and are able to adapt quickly

    • You execute without micromanagement.

    • You have extensive operations experience (coaching industry a plus). 

    • You are willing to learn the processes necessary to step in throughout the organization as needed.

    • You are able to create and follow an intentional calendar.

    • You enjoy creating and cultivating relationships - with teammates, vendors, customers, etc

    THESE WILL BE SOME OF THE RESULTS YOU WILL BE ACCOUNTABLE FOR…

    • Book and manage all team travel
    • Create weekly and daily update with events, meetings, and deadlines for COO
    • Coordinate meetings for COO
    • Convert all docs and contracts to e-sign for COO
    • Create and outline necessary docs for COO
    • Coordinate COO's travel and document and organize all invoices
    • Create docs and spreadsheets to compile and sort information needed by COO
    • Create links for meetings for COO
    • Create and oversee all company logins
    • Create accounts for team 
    • Export and organize applications into spreadsheets
    • Coordinate interviews with potential employees and reporting Directors
    • Organize Dropbox
    • Organize Google Drive
    • Organize Vimeo
    • Purchase and organize all team tech agreements and invoices
    • Research vendors and platforms to present to COO
    • Create and update written and video processes as they evolve
    • Meticulously maintain individual calendar to ensure efficiency and productivity
    • Attend mandatory weekly virtual team meetings
    • Attend quarterly team in-person meetings
