Job Summary:
We are seeking a detail-oriented and experienced Staff Accountant to join our growing company. The ideal candidate will have strong accounting fundamentals along with hands-on payroll experience, preferably in a staffing or healthcare environment. This role will be responsible for payroll processing, financial reporting, reconciliations, and supporting overall accounting operations.
Key Responsibilities:
Payroll & Compensation:
Process weekly and bi-weekly payroll for healthcare professionals (W-2 and 1099 employees).
Ensure accurate calculation of hours, overtime, shift differentials, stipends, and bonuses.
Verify timesheets and resolve payroll discrepancies in a timely manner.
Manage payroll tax filings and ensure compliance with federal, state, and local regulations.
Coordinate with HR and recruiting teams regarding new hires, terminations, and pay adjustments.
Prepare and distribute W-2s and 1099 forms annually.
Maintain payroll records in compliance with labor laws and company policies.
Accounting & Financial Operations:
Prepare journal entries and maintain general ledger accounts.
Perform monthly bank and account reconciliations.
Assist in month-end and year-end closing processes.
Manage accounts payable and accounts receivable functions.
Track contractor billing and client invoicing.
Assist with financial reporting and budgeting.
Support audits and provide documentation as needed.
Compliance & Reporting:
Ensure compliance with healthcare staffing regulations and labor laws.
Maintain accurate documentation for audits and regulatory reviews.
Assist with workers’ compensation, benefits deductions, and garnishments processing.
Qualifications:
Bachelor’s degree in Accounting, Finance, or related field.
2–5 years of accounting experience (staffing industry experience).
Minimum 2 years of payroll processing experience (multi-state payroll).
Strong knowledge of payroll regulations and tax compliance.
Proficiency in accounting software (QuickBooks, ADP, Paychex, or similar).
Advanced Excel skills.
Strong attention to detail and organizational skills.
Ability to handle confidential information with integrity.
Preferred Experience:
Experience in allied healthcare staffing or medical staffing environment.
Knowledge of timekeeping systems and VMS platforms.
Familiarity with commission and recruiter bonus structures
Experience handling high-volume payroll.
