    TITLE: Membership Coordinator

    PERFORMANCE

    PROFILE SOURCE: Youth Development

    DEPARTMENT: Programs

    REPORTS TO: Unit Coordinator

    FLSA STATUS: Exempt X Non-Exempt

    PRIMARY FUNCTION:

    SKILLS/KNOWLEDGE REQUIRED:

    • Age 21 or over
    • Strong communication skills, both verbal and written
    • Group leadership skills, including an understanding of group dynamics
    • Demonstrated organizational, staff and project management abilities
    • Mandatory CPR and First Aid Certifications
    • Registry certificate level 3 or higher
    • Mandated reporter certificate
    • Valid Driver's License

    KEY ROLES (essential job responsibilities):

    1. Meeting the Stateline Boys & Girls Club mission by building quality relationships with all members, families, and staff, ensuring safety for all, incorporating fun and recognition, and holding members accountable to SBGC expectations.
    2. Accurate recordkeeping of all memberships and daily attendance in all programs.
    3. Handling membership fees, credit/debit card transactions, and additional monetary transactions as needed on a daily basis.
    4. Answering phone calls, emails, and other correspondence promptly, professionally, and confidentially.
    5. Welcoming all members, staff, and visitors as they arrive at the desk and ascertaining how you can be of assistance.
    6. Ensuring that no guest or visitor travels past the front desk without proper identification and keeping a record of their visit; time in & out.
    7. Supervising all area(s) of the Club within ear and eye shot to ensure safety and responsible behaviors of Staff and Members and communicating concerns in a timely manner to the Director.
    8. Keeping parents updated on upcoming events or activities in the community or at the club.
    9. Prioritizing tasks based on level of importance, workload and deadlines/due dates.
    10. Establishing and maintaining a system of communication with Director(s) and Staff as needed.
    11. Accurate recordkeeping of incident reports and disciplinary action forms, including timely communication of incidents and discipline concerns to parents/guardians.
    12. Assisting lead and assistant teachers with program needs, including plans, supplies, and child tracking as needed Assuming other duties and responsibilities as assigned from Chief Professional Officer and/or Director(s).

    ADDITIONAL RESPONSIBILITIES:

    1. May participate in special programs and/or events (i.e. Stride, Youth of the Year and Awards Programs), and/or participate in the implementation of other unit activities as necessary.

    2. May be required to drive a Club van periodically.

    4. May be required to assist with meal service including training on proper CACFP protocol.

    5. May be required to periodically substitute for programs.

    RELATIONSHIPS:

    Internal: Maintain close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct; and advise/counsel.

    External: Maintain contact as needed with external community groups, schools, members' parents and others to assist in positive interactions and conflict resolution.

    PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

    The membership secretary must be able to sit or stand for lengthy periods of time and lift up to 25 pounds. The environment may be fast-paced and noisy during program times during which period the membership secretary must be able to prioritize tasks and stay on task while handling phone calls, member concerns, and other unexpected interruptions.

    ADMINISTRATION

    The MS will be consistent with the Club's system of record keeping i.e. turning in timesheets, attendance, and membership forms.

    The MS will maintain confidentiality at all times.

    The MS will consistently make ethical decisions that correlate to the mission, vision, and core values of SBGC.

    The MS will report bi-weekly to the Unit Director and/or Director of Operations
