We are currently partnering with our trusted client Care Solace, for a Senior Executive Administrative Assistant to the CEO, located in their corporate offices in beautiful Cardiff (San Diego), California.
Care Solace is the largest mental health community-based referral service, serving K-12 school districts across the US, connecting students, district staff, and families with mental health resources. They assist the growing need in the mental health referral business, where an estimated 1 in 5 students struggle with a mental health concern. They proactively address the increase in suicides through their efforts in mental health resources to providers and professionals.

The Role
The Senior Executive Assistant will provide high-level administrative support to the CEO and founder of Care Solace, with a Chief of Staff mentality and degree of professionalism, for this fast-paced, rapidly growing, mission-driven company, as well as providing light support for his offshore company, Remote Reps.
This role is designed to simplify the day-to-day interactions and life of the CEO and founder by providing various levels of coordination and support ensuring that tasks and projects are complete and on time. This role includes demonstrating a high degree of professionalism, initiative, and independence in supporting this office on a wide variety of complex issues and handling all administrative projects.
Primary Responsibilities Include
Provide high-level administrative support and assistance to the Founder & CEO
Organize travel arrangements including detailed itineraries
Manage highly complex calendar for meetings, travel arrangements, and competing requests for the CEO’s time from others
Email management
Meeting planning, creating meeting decks, meeting minutes, and follow-up agenda management for the Executive Leadership Team and Board of Directors
Involvement in preparing and formatting information for internal and external
Project management responsibilities
Communicates with other executives, board members, and external stakeholders on behalf of the CEO
Maintain and arrange executive appointments by planning and scheduling meetings, conferences, teleconferences, travel, and accommodations
Schedule and attend meetings on behalf of the CEO, taking notes and recording minutes
Help manage the CEO's demanding schedule keeping him on track and on time
Provide admin support to other senior executives as needed

Event planning experience-holiday, annual summit, ELT meetings, Board meeting events, golf events, and all team meetings
Ability to develop and maintain effective working relationships with staff and clients
Ability to maintain the highest standards of professional conduct
Education/Experience
Bachelor's degree (preferred)
Minimum of 7-10 years of experience as a senior executive assistant to a CEO or President in a fast-paced environment
High EQ-with the ability to understand the unsaid
Strong organizational and time-management skills, with the ability to manage multiple tasks and projects simultaneously
Excellent written and verbal communication skills
Expert-level proofreading skills, and communication skills including written and verbal
Highly proficient in Powerpoint, Word, Outlook, and Zoom
Experience working in a fast-paced, ever-changing environment, with alternating priorities and objectives according to the leadership team goals
High level of discretion and confidentiality, with the ability to handle sensitive information with tact and diplomacy
Ability to work independently and as part of a team in a fast-paced, deadline-driven environment
