The Role
The Sr Executive Assistant to the Chair and CEO will partner with their amazing Chair and CEO Pat McAdaragh, a tenured co-owner of the company, as his right-hand Executive Administrative Partner. You will effectively problem solve, provide creative solutions, and be motivated by opportunities to leverage technologies and optimize workflow. This role will work in a cross-functional team environment and will exercise high levels of integrity and confidentiality.
You will have a key role supporting Pat, and be a main contact and extension to the board, Executive Leadership Team, and team members. There is also light support to the Vice Chair, CFO, and CHRO, working on exciting projects and workflows, to add variety and career expansion opportunities.
The ideal candidate is a self-starter with exceptional communication skills, meticulous attention to detail, and creative problem-solving skills. The candidate must have proven experience working with C-Suite executive teams in a fast-paced environment, with the ability to handle sensitive and confidential information with excellent judgment, diplomacy, and discretion.
Primary Responsibilities Include
Support the Chair & CEO as his right-hand confidant and executive administrative partner.
Manage the Chair and CEO’s calendar, prioritizing the most sensitive matters, mitigating any scheduling conflicts, and communicating and confirming logistics.
Provide assistance with written correspondence such as writing and editing emails and drafting memos and other communication materials.
Produce effective PowerPoint slide decks and other materials on behalf of the Chair, CEO, and Executive Leaders prior to meetings.
Efficiently organize meetings including scheduling, sending reminders, printing agendas and materials, managing room set-up, and arranging catering when necessary. Take meeting minutes and follow up with attendees as appropriate.
Provide general administrative support to members of the Executive Leadership Team as needed.
Partner with the Chair and CEO to improve overall efficiency with agendas, calendaring, and communications among leaders.
Communicate with external stakeholders as needed.
Acts as a key stakeholder on special projects as needed.
Manage business travel for Chair and CEO and other executives by booking flights and accommodations, including charter flights.
Assist with the planning, preparation, and execution of team events, meetings, offsite meetings, and reservations.
Manage and maintain records for travel-related logistics.
Collaborate with other team members to coordinate internal and external events.
Prepare monthly expense reports for Chair and CEO and other leaders as needed.
Schedule board and committee meetings; reserve and set up conference rooms and plan for meals or catering.
Assist CHRO with culture building and team projects.
Manage general administrative duties including calendars; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel, itineraries, and agendas; compiling documents for travel-related meetings, processing mail, and invoices for payment, managing event tickets and parking passes for various sports and entertainment venues.
Work requires some analysis and the use of initiative and independent judgment. Often called upon to interpret and communicate executives’ or board’s intent to other employees.
Follow and serve as a role model in displaying Midco’s Core Values and Leadership Success Drivers.
Adhere to Midco’s privacy guidelines to ensure each customer’s privacy.
Ability to work independently in a hybrid office/remote environment.
Maintain regular attendance as required by your position. This is an “in-office” position, meaning Monday – Thursday with Friday as optional work-from-home.

Education/Experience
Bachelor’s Degree preferred or equivalent work experience.
5-7+ years of executive assistant experience in the C-Suite, supporting a President, CEO, CFO, COO, or similar.
Experience working with the Board of Directors preferred.
Advanced proficiency with Outlook, Outlook Calendar as well as key applications such as Word, Excel, PowerPoint, and web/video conferencing skills required.
A strong team player, who thrives in a collaborative setting and can work with individuals at all levels of the organization.
Exceptional attention to detail with strong problem-solving skills.
Executive-level written and verbal communication skills. Experience interacting with external and internal executives and constituents.
Skilled in the use of standard office equipment (e.g., copiers, business telephone systems).
