Real Estate Marketing Office Assistant
The Executive and Marketing Assistant is responsible for performing marketing and administrative activities for our real estate team consisting of four real estate agents. This role is accountable for providing support to the team and may be directed to exercise discretion and independent judgment when needed. The ideal candidate brings their intent attention to detail to the table in order to play a key role in the achievement of our real estate team’s goals through the facilitation of smooth transactions from point of accepted contract to delivery of keys. This position has two parts. The first: This person excels at creating systems and improving processes, works well from a list, and can strategically manage their tasks without much direction. The ideal candidate must be detail-oriented but maintain a high level of fluidity and flexibility. The tasks that must be performed to get a contract to closing do not always happen in a linear manner, and it is because of this fluid nature of the tasks that keen attention to detail is necessary. The second side of this position will focus on the marketing component: This marketing coordinator is the liaison between the staff, clients, vendors, and other resources, and is very important for the success of the Real Estate team. The role is responsible for providing service excellence by taking ownership of customer service initiatives, managing and creation of planned marketing assets for both properties, client-facing digital and print brochures and managing our team's social media pages. You are accountable, patient, detail-oriented, prudent, dedicated, and communicative. Function Overview: As an Administrator to our real estate team, you help me and the other members of our real estate team leverage industry-leading solutions, comprised of technology, programs, and specialists, to grow their business. You are an ambassador, relationship manager and primary point of contact for our real estate agents and our clients. This role serves as an intermediary and collaborator between agents and other specialty teams. You will partner with specialty functions to leverage expertise across the organization all focused on growing your agent’s business. **This position is in the City of Philadelphia. Prefer a candidate located in this area. At Compass You Will: • Proactively serve a portfolio of assigned agents so that they may achieve positive business outcomes via Compass software and services • Drive agent software and program engagement to help agents become power users • Master Compass technology and educate agents on Compass products and programs to enable best business practices in a competitive landscape • Partner closely with Real Estate Sales Managers and other cross-functional teams to build and execute agent success strategies, including business growth plans • Conduct in person Compass product and program trainings and meetings with agents as needed • Work proactively to identify agent needs and develop solutions • Document and continuously improve best practices, resources, and SOPs • Work with local regional leadership on local best practices and regional priority projects • Troubleshoot issues related to marketing, Compass tools, technology/devices, enterprise systems, etc WHAT WE'RE LOOKING FOR: • B.A. or B.S. degree in a relevant field • 2-4 years previous experience in agent service, client success or client relationship management • Previous real estate experience is KEY. • A real passion for serving agents trying to grow their businesses • The ability to establish credibility with key agent decision-makers and influencers • Strong written and verbal communication and presentation skills; extraordinary listening skills • Strong problem solving and analytical skills; quickly formulates solutions that deliver real business value • Ability to recognize and maximize new business opportunities • Multi-tasking down to a science; handling multiple accounts and assignment simultaneously • Interest in new software and cutting edge programs in the larger real estate landscape • A commitment to exceed goals that is internal, constant and self-imposed • Previous experience working with enterprise technology (In-Design, CRM software, Gsuite) a must • Previous experience and strength working with social media, adobe, email and print marketing are essential At Compass, our mission is to help everyone find their place in the world. Responsibilities: • Takes initiative and is responsible for overseeing the workflow process in the sales office. • Capable of running errands business-related errands for our team members and clients. • Manages and is responsible for a variety of general administrative activities related to either the listing or sales side of the real estate transaction. • Perform and is fully responsible for the daily, weekly, or monthly administrative tasks of operating a sales office. • Manages all open house schedules and materials. • Confirms appointments for the team including the confirmation of any outside vendors i.e. photographers, floor/plan crews, contractors, etc. • Handle open house packets, familiarizing, and taking ownership of the processes per Agent and location. • Communicate directly with clients and encourage trusting relationships. • Undertake daily administrative tasks to ensure the functionality and coordination of the department’s activities. • Support sales office in organizing sales and marketing projects. • Employ marketing analytics techniques to gather and share important data (social media, web analytics, rankings, etc.) • Update spreadsheets, databases, and inventories with statistical, financial, and non-financial information. • Assist in the organizing of promotional events and traditional or digital campaigns and attend them to facilitate their success. • Ability to compose and post online content on the company’s website and social media accounts a must. Qualifications: • Proven experience as an administrator/marketing assistant • Good understanding of office management and marketing principles • Demonstrable ability to multi-task and adhere to deadlines • Well-organized with a customer-oriented approach • Good knowledge of market research techniques and databases • Excellent knowledge of MS Office and online applications (CRM tools, Online analytics, Gsuite, etc.) • Exquisite communication and people skills • BS in Marketing, Business or relevant field is a strong advantage OTHER QUALIFICATIONS, SKILLS, AND ABILITIES: • Real Estate experience a must • Knowledge of MLS, DocuSign, Zipforms, Skyslope a plus • Social Media (Hootsuite, Instagram, Facebook Twitter) experience a must • Experience with InDesign and Photoshop • Knowledge of MailChimp, Premiere Pro, iMovie a plus Compensation: $39,900 annually
