    Job Description

    EXECUTIVE COORDINATOR Remote Position - Reports To: Chief Creative Officer WHAT YOU'LL DO STRATEGIC ADMINISTRATION As an extension of the Chief Creative Officer, you will provide multi-faceted and strategic administrative support to ensure effective use of his time and scheduled interactions. You will be on point to manage his schedule, meeting preparation, follow-up tasks, and complex travel arrangements. Your goal is to help him maximize his influence and availability with clients, the team, and as an industry influencer. VALUE-ADD COMMUNICATIONS The ideal executive coordinator will have the emotional intelligence, client management experience, and communication skills to respond directly and effectively to clients, industry leaders, and strategic partners. When the Chief Creative Officer is unavailable or requires protected time, you will ensure forward momentum on communications by exercising exceptional judgment and understanding what is needed and necessary. BEYOND ASSISTANCE The sum of what you will do moves well beyond "assistance". This role comes with operational responsibilities and a need for a solutions-oriented posture. From time to time, you will take on special projects that could fall into any number of functional areas-from systems improvements to business development support to industry engagement to team building or event planning. You're a can-do kind of person, and this is a can-do kind of role! LOGISTICS LIAISON With a busy schedule and a growing team, the Chief Creative Officer is not always available to answer team questions or to jump into the details of day-to-day individual management-related activities. The Executive Coordinator will support the other creative and operational managers in helping connect the dots, source answers to questions, and help the team with any logistic requests and needs. You close the loop and make sure "it" was handled, whatever "it" was. WHAT SUCCESS WILL LOOK LIKE For day-to-day success, you will be responsible for ... ORGANIZATION * Manage and organise a broad variety of administrative tasks; including an extremely active calendar of appointments * Coordinate and book all travel for CCO and additional staff our clients as needed * Collate receipts and ensure the finance team can submit invoices to clients in good time * Maintain a list of open items of all tasks that have been assigned * Prioritise needs and bring projects to successful completion * Run business and personal errands for CCO / Company as needed * Support business development and marketing with industry related requests and coordination for events and requests for CCO involvement * Support operations and creative managers with process improvement COLLABORATION * Coordinate and set up various meetings with clients and internal teams * Communicate with tact and professionalism * Able to be assertive but polite in the face of conflicting demands * Build rapport with creative team, operations and strategic partners CARE-FULL ATTENTION * Reply to email correspondence and verbal requests in a timely manner * Determine appropriate course of action, referral, or response * Demonstrate professionalism and judgment in dealing with confidential and sensitive issues. * Maintain privacy * Other projects and duties as assigned WHAT YOU'LL BRING TO THE PARTY TO PERFORM THE JOB SUCCESSFULLY, AN INDIVIDUAL SHOULD DEMONSTRATE THE FOLLOWING COMPETENCIES AND BEHAVIOR: * Friendly and Professional Demeanor - Ability to build and maintain relationships with staff, vendors and clients. * Anticipates Needs - Ability to anticipate what's next and acts before being asked. * Customer Service - Demonstrates the highest level of service and efficiency. * Flexibility - Ability to adapt to change while maintaining a positive attitude. * Confidentiality - Upholds information in strict confidence; does not participate in gossip. * Growth-mindset - You see feedback as a means to growth, rather than criticism. * Dual Market Interest - You will be equally as comfortable and enthusiastic working with clients and partners in our themed entertainment market as you will with clients and partners in our cause market with Churches and Christian organizations. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
