The Front Desk Administrative Assistant is the first contact to greet guests by phone or in person. It is imperative that the individual in this position conducts themselves in a professional manner. The Front Desk Administrative Assistant also provides administrative support to Company Directors and will report to the Business Manager.
Core Functions:
Serve visitors by greeting, welcoming, directing, and announcing them appropriately.
Positive attitude, professional demeanor, strong work ethic and high-energy level.
Answer, screen, and forward any incoming phone calls.
Provide administrative support for Company Directors.
Maintain conference room reservation schedule; juggle when necessary.
Receive, sort, and deliver daily mail, deliveries, and couriers.
Maintain security by following sign-in procedures and controlling access.
Update, coordinate and maintain calendars with meetings/appointments and provide meals if appropriate.
Make travel arrangements and track expenses by collecting receipts, coding, and forwarding to Accounting.
Ability of taking a project startup and running with it.
Ability to be resourceful and proactive in dealing with issues that may arise.
Ability to prioritize and juggle multiple tasks.
Strong attention to detail and accuracy
Solid communication skills both written and verbal.
Organized with excellent time management
Must be a motivated self-starter able to work effectively with all departments with limited supervision.
Must be punctual, with good time-management skills.

Bachelor’s Degree or equivalent experience
2 years prior administrative experience required
