    The Role

    To be successful as a Installation Coordinator / Trades Administrator, you will be the hub for the HVAC Department while also supporting all trades. You will assist the Service, Operations, Sales, and Installation Managers with tasks including, but not limited to, prioritizing, scheduling, coordinating, installations, permitting, damage repair, trend analysis, and close-out administration. You should have a positive and persuasive attitude, attention to detail, excellent customer relationship skills, and a passion for communicating with customers, management, external agencies, and teammates. You should be highly proficient in Service Titan and Microsoft Excel. Having a working knowledge of Plumbing, Heating/Air Conditioning, and Electric is critical to this role.

    Responsibilities:

    • Build positive relationships with customers, teammates, and external agencies.
    • Meet with the Sales and Installation leaders to coordinate scheduling priorities.
    • Prepare all permit requests and necessary documents prior to installation.
    • Ensure proper equipment has been recorded in the customer's records.
    • Prepare Warranty documentation for manufacturers.
    • Address customer concerns and provide solutions.
    • Gather information about customer damage reporting and coordinate with appropriate contractors to make repairs.
    • Assist with equipment ordering to ensure it's ready for each job, according to the pull sheet.
    • Assist customers with scheduling inspections or any post-installation matters.
    • Make post-installation follow-up calls to achieve the highest level of customer satisfaction.
    • Generate nightly production reports.
    • Gather and analyze information about failed inspections and publish it monthly.
    • Maintain performance tracking spreadsheets for the installation jobs.
    • Contact customers to set up inspection appointments / reschedule accordingly.
    • Provide internal feedback on how to improve internal processes.
