    The Maintenance Department Administrative Assistant will primarily work on the Computerized Maintenance Management System (CMMS) of MAPCON. This position will work under the supervision of the Maintenance Manager. This role will help maintain and ensures consistent application of the CMMS procedures, security assignments and code required to interface with maintenance, purchasing, and inventory functions as well as coordinate daily CMMS operations for the engineering and maintenance department. 

     

    GENERAL RESPONSIBILITIES

    • -Open and close work orders in the CMMS. Print related documentation and hand out assignments to maintenance personnel.
    • -Maintain design and backlog of data entry standards used in the CMMS. Records in key data tables in response to system user requirements as applied through use of department policies and standards.  
    • -Assist within maintenance machinery activities. Helps establish consistency preventives & correctives maintenance process. Assists as necessary machinery inspections before and after maintenance PM/CM.
    • -May require performing minor mechanical activities during machine inspections. 
    • -Maintain the spare parts and inventory controls. 
    • -Responsible for placing purchase request for management approval. Maintain inventory under his/her supervision, reconciles and ensures minimum & maximum accuracy.  Dispatches parts requested utilizing proper protocols. 
    • -Maintain communication. Reports accurately and effectively functions to Management.
    • -Participates in requisite CMMS training and education. 
    • -Participate & assist with facilitating the importing and exporting of equipment, inventory and other data reports related to maintenance activities.
    • -Perform other reporting tools used in work order and inventory analysis graphs. Monitors the change process for system procedures and standards. 
    • -Provides back-up to the Work Order Desk.
    • -Coordinates the interface between maintenance, purchasing, and inventory to support the maintenance function including maintenance of equipment master, labor, and inventory records.
    • -Performs other duties as assigned
    • -At least 1-3 years of experience in computer information database that includes work flow process creating reports and dashboards.
    • -Experience with Microsoft Office tools
    • -Knowledge and skills in using, database hardware and software. 
    • -Knowledge of configuration management principles and applications and the ability to apply these principles to software applications and data structures.
    • -Knowledge of report writing, and tools used for work order analysis and inventory analysis graphs.
    • -Ability to speak and write effectively.
    • -Skilled in using a computer and modern office software, with emphasis on database systems including spreadsheets.
    • -Able to lift 25 pounds. Stand up, walk and or bend over during working activities required to perform tasks efficiently. 
    • -Preferred previous CMMS (SAP) experience.
    • -Preferred experience with use of flashlights, screwdrivers and some wrenches, levels, tape measures, among other hand tools.

    QUALIFICATION AND EXPERIENCE

    EDUCATION

    • -A high school diploma, a Certificate of General Educational Development (GED), or an equivalent combination of education, experience and training.
    • -A fully equivalent combination of education and training beyond what is needed to satisfy the education requirement may be used to substitute for up to 1 to 3 years of experience.  For example, a bachelor’s degree may substitute for 3 years of experience.
