PROGRAM MANAGER – NEW MOM SCHOOL PHILADELPHIA
The New Mom School began in 2012 in Newport Beach, CA and has grown into a supportive, resource-rich community for new mothers. Our postnatal classes provide education and support during the early months of motherhood. Each 8-week session is grouped by babies’ birth month so moms share the same phase of their journey. We bring in a curated team of local experts to share up-to-date, research-based information throughout the series. Moms consistently learn more than they expected—while forming friendships, bonding with their babies, and finding space to laugh, cry, and connect.
Our classes are judgment-free and welcoming to every parenting style. Whether a mom breastfeeds or formula feeds, uses cloth or disposable diapers, co-sleeps or works full-time, her group becomes her village. Motherhood doesn’t come with a manual, so we created one—along with the community that makes all the difference.
About the Role The Program Manager is the operational backbone of New Mom School Philadelphia. This role supports class scheduling, client communication, visiting-expert coordination, marketing, sales, and day-to-day studio operations. This role is ideal for someone who is organized, warm, resourceful, tech-savvy, and excited to support new moms in a thoughtful, community-driven environment.
Basic Qualifications
Genuine passion for supporting new moms in the postpartum period
Warm, compassionate communication style
Strong attention to detail and follow-through
Highly organized and reliable
Professional and polished in email, phone, and DM responses
Experience with and/or passion for social media (IG, FB)
Sales experience strongly preferred
Marketing-minded; understands what makes content engaging
Tech-savvy or able to quickly learn new tools (e.g., Momence, Google Workspace, Canva)
Self-starter who works independently and anticipates needs
Interested in long-term growth and supporting future NMS locations
Key Responsibilities
Class & Program Management
Build and maintain the full class schedule in Momence and Google Calendar
Set up all new class series, manage registrations, and track class capacity
Assign preregistered moms to upcoming series and manage waitlists
Update registration and scheduling details across all systems
Calculate and process refunds when needed
Provide friendly, timely customer service via email, phone, and DM
Prepare printed rosters, calendars, and materials for instructors and class members
Social Media & Community Engagement
Coordinate with Social Media manager to capture in-studio photos and short videos
Repost stories and posts from class members and local partners
Respond to DMs and comments on IG and Facebook
Monitor and engage with the private Facebook group
Visiting Experts Coordination
Schedule visiting experts for each class series
Send weekly reminders and handle rescheduling
Maintain clear communication between experts and instructors
General Studio Administration
Collect and verify instructor and expert invoices
Onboard new instructors and experts into our systems
Respond to daily email and occasional phone inquiries
Manage studio rentals and accept payment
Create gift certificates as needed
Coordinate community donations and deliver printed collateral to partner practices
Reach out to potential sponsors and gather items for gift bags
Assemble gift bags when required
Compensation & Employment
Hourly compensation based on experience ($20/hr min.)
Hours/week may increase over time depending on start date (minimum 20hrs/week, maximum 40 hrs/week)
