    New Mom School is a national network of studios that provide education, support, and community for women during pregnancy and their baby’s first year. Our programs are led by maternal health experts and designed to help moms feel confident, connected, and supported during one of life’s biggest transitions.

    Position Overview

    We are looking for a proactive, highly organized Program Manager to help keep our classes, communications, and community partnerships running smoothly. This role is ideal for someone who enjoys systems, clear communication, and creating great experiences for new families.

    This position is primarily remote but requires someone based in the Portland metro area for occasional in-person tasks, partner visits, and events.

    Key Responsibilities

    Daily Responsibilities

    Manage and respond to inbox messages, DMs, and voicemails with warmth and professionalism

    Monitor class registrations, waitlists, and incoming questions

    Engage with community partners and followers on social media

    Weekly Responsibilities

    Coordinate visiting experts and confirm logistics for upcoming classes

    Schedule and publish social media content

    Follow up with warm leads and schedule studio tours or enrollment calls

    Manage lead communication through Momence and Instagram

    Monthly and Ongoing Responsibilities

    Build and maintain class schedules in the Momence CRM

    Manage automated communications such as reminders and follow-ups

    Support grassroots marketing including pop-ups, open houses, and community events

    Maintain relationships with local referral partners and restock printed materials when needed

    Assist with simple blog posts or content coordination (photos, testimonials, captions)

    Provide light administrative support for invoices and payroll coordination

    Coordinate instructor schedules and communication

    Track registrations, engagement, and event outcomes in simple reporting dashboards

    New Class Launch Coordination

    Confirm instructor and class start dates

    Set up classes and due-date segments in Momence

    Communicate with pre-registered moms and finalize class rosters

    Share schedules and logistics with instructors

    Send welcome emails with first-day details and expectations

    Qualifications

    Strong organizational and communication skills

    Comfortable using Google Workspace (Docs, Sheets, Drive)

    Experience with CRM systems; familiarity with Momence is a plus

    Basic Canva or social media scheduling experience preferred

    Detail oriented and systems minded with a love for checklists and processes

    Able to work independently and manage deadlines

    Passion for supporting new moms and families

    Based in the Portland metro area for occasional in-person events or partner visits
