A2H is currently seeking an Submittal Specialist, capable of working independently, and under the general direction of the Director of Project Management. This candidate will be based in our Memphis office . The successful candidate shall have the following responsibilities:
RESPONSIBILITIES
The position entails the following duties and responsibilities:
- Receive and verify that submittals have been reviewed and approved by the contractor prior to internal distribution
- Log all submittals into the project tracking system with accurate and up-to-date information
- Distribute submittals to the appropriate internal disciplines (civil, architectural, structural, MEP, etc.) for review
- Monitor submittal review timelines and make certain of adherence to established review periods
- Proactively follow up with reviewers as deadlines approach to ensure timely completion
- Track status of all submittals across multiple active projects simultaneously
- Compile reviewed submittals and verify all comments are properly documented
- Log completed submittals and return them to the contractor in a timely manner
- Maintain organized and accurate project records and documentation
- Utilize project management and documentation software to track, manage, and communicate submittal status
The successful candidate shall possess the following qualifications:
- Bachelor's degree from an accredited four-year college or university preferred but not required.
- 1-2 years' experience in Architectural/Engineering/Planning/Construction office preferred.
- Strong organizational and time management skills with the ability to manage multiple projects.
- Excellent attention to detail and accuracy in documentation and tracking.
- Strong written and verbal communication skills, with the ability to coordinate effectively between internal teams and external partners.
- Ability to prioritize tasks and proactively follow up to meet deadlines.
- Proficiency in software platforms such as Procore, PlanGrid, Bluebeam, Microsoft Excel, Microsoft Outlook and Microsoft Word
- Familiarity with construction documents, submittal processes, or A/E industry flows.
