    ROLE AND RESPONSIBILITIES:

    The Administrative Assistant is responsible for a wide variety of administrative and clerical tasks including greeting guests and internal customers, answering a multi-line phone system as well as assisting the accounts payable department. Specific job duties include but are not limited to:

    • Answer, screen, and forward any incoming phone calls while providing basic information to callers as needed.
    • Announce visitors to the appropriate staff and manage visitors.
    • Manage ordering of office supplies for Seakeeper Corporate, Pennsylvania, and Florida locations.
    • Stock office supplies throughout the office. 
    • Provide word processing, scanning, copying, and other administrative support as needed.
    • Print weekly check runs and match all invoices to check copies for AP department.
    • Mail out checks and maintain a report showing dates mailed.
    • Assist office staff in mailing/overnighting of other materials as needed. 
    • Maintain the general filing system and file all weekly check backup.
    • Maintain Non-Disclosure Agreements and Certificate of Liability Insurance to ensure all paperwork is complete and current.
    • Request W9s and assist in 1099 Misc. reporting.
    • Other duties as assigned.

     

    Required Skills

    QUALIFICATIONS AND EDUCATION REQUIREMENTS: 

    • Qualified candidates must have a high school diploma and 1-3 years related experience in an office environment. 
    • Time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision are essential. 
    • Must have strong verbal skills and the ability to communicate professionally. 
    • Must have strong command of Microsoft Office products and interpersonal skills. Also must be a team player and detailed oriented. 
    • Excellent writing skills including proper spelling, grammar, and punctuation. 
    • Qualified applicant must be professional, responsive, resourceful, flexible, well-organized, and maintain a positive work attitude. 
    • Must be able to work independently, maintain filing systems and basic databases, gather information as required, and make sound, timely, and accurate judgment while supporting reasoning for decisions.
