    Human Resources Specialist

    SUMMARY/OBJECTIVE:

    Provide confidential, professional, administrative support to the Human Resources Manager that includes a wide range of administrative duties to be handled with confidentiality and discretion where required. Helps in the recruitment of applicants, and onboarding. reviews resumes’, conducts interviews, and orders back ground and drug screens for new employees. Prepare reports, correspondence, manuals, spreadsheets, and other communications utilizing a broad range of computer applications. Assist in managing day-to-day human resource functions of the credit union. Participate in developing department systems, goals, and objectives.

    The HR Specialist performs various tasks which relate to Human Resources in the business operations of Sunbelt FCU. Demonstrates knowledge and skills to appropriately communicate and interact with staff, management, and board of directors of all age groups while being sensitive to their cultural and religious beliefs.

    Essential Functions:

    · Maintains knowledge of human resources operations and activities and applies HR functional knowledge in optimizing HRIS systems.· Serves as system administrator of all HRIS systems such as the onboarding program and electronic personnel database.· Serves as system administrator for employee health, dental, vision, and other supplemental insurance product carriers.· Serves as backup for ensuring Form I-9 forms are timely completed, submitted and verify the case is closed.· Conducts new employee orientations and provides new hires with Manuals and other needed supplies.· Orders new employee entry fobs and set them up in the time clock system.· Looks for opportunities to simplify, improve and streamline HR related systems to improve processes.· Generates, writes, maintains and supports a variety of reports or queries utilizing appropriate reporting tools. Assists in development of standard reports for ongoing departmental needs.· Responsible for securing data and maintaining confidentiality of information in HRIS and all HR systems.· Maintains awareness of current trends in human resources information systems with a focus on product and service development, delivery and support, and key technologies to improve HR processes.· Attend all mandatory, staff meetings, staff development workshops, conferences and seminars as recommended· Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.· Take pictures and make badges for new hires and employees who require new name badges.· Upload photos into the Human Resources Information System (HRIS)· Assist HR Manager and CEO in compilation of manuals and handbooks for the organization· Responsible for filing documentation in employees’ files in appropriate sections and in a timely manner.· Keeps employees records up to date by processing employee data and status changes in a timely manner.· Schedule meetings and interviews as requested by HR Manager and Hiring Managers.· Prepares and submits exit interview separation documents to terminating employees· Makes photocopies, faxes documents and performs other clerical functions.· Files papers and documents into appropriate employee files.· Verify timecards at the end of each pay period.· Process reimbursement payments for Board Members and employees.· Pays payroll and Human Resources Vendors, Insurance Companies through ACH or by generating and printing checks.· Helps maintain all the HR related and assigned GL’s to insure 100% accuracy and accountability.· Assists the HR Manager with employee benefits such as 401(k) records and administration.· Assists the HR Manager in tracking FMLA and other Leave of absences.· Attend and work with coworkers at Sponsored Community events.· Schedule and travel for the Board of Directors as needed. Hotel, Flights, etc.· Other duties as assigned.

    Computer Proficiency

    Education:

    · High School Graduate or Equivalent (GED)

    · Some College preferred

    · SHRM-CP or SHRM-SCP Preferred or willing to become SHRM certified.

    Experience, Skills and Other Requirements:

    · Practical knowledge of HR principles and practices.

    · Experience using Human Resources Information Systems, Aplus Payroll preferred.

    · Experience processing payroll and managing time sheets.

    · Good typing and computer skills

    · Working knowledge of all office business machines and basic office procedures

    · Ability to handle on-demand requests and deadline pressure

    · Ability to work without supervision while handling workload

    · Ability to answer telephone inquiries, take accurate messages and screen calls

    · Make quick, correct decisions regarding staff when no one else is available

    · Ability to multi-task while managing work load

    · Must possess strong basic math skills, accuracy and attention to detail

    · Must demonstrate an ability to understand and implement changing policies and procedures.

    · Exceptional oral and written communication skills required.

    · Must possess interpersonal skills including courtesy, tact, and diplomacy as they are essential elements of the job. Work involves much personal contact with others inside and/or outside the organization for purposes of giving or obtaining information, building relationships, or soliciting cooperation.

    Must be proficient in Microsoft Word, Excel (including basic formulas), as well as use of internet and e-mail.

    Position Type/Expected Hours of Work:

    This is a full-time position. Days and hours of work are Monday through Thursday 8:00 a.m. to 5:00 p.m. and 8:00 a.m. to 5:30 p.m. on Friday with occasional Saturdays from 9:00 a.m. until 1:00 p.m. (expect to work at least one Saturday per Month)
