    Job Summary:

    Front Office Manager is responsible for overseeing all Front Desk and PBX operations to insure profitability, control costs and maintain quality service standards ensuring total guest satisfaction. Acts as the main contact for guests and other hotel departments. Manages: Assistant Front Desk Manager, Supervisor, Night Auditors, Front Desk Agents, Bell Attendant, PBX Operator.

    Essential Functions:

    Utilizes interpersonal and communication skills to lead, influence, and encourage others; advocates sound financial/business decision making; demonstrates honesty/integrity; leads by example.

    Encourages and building mutual trust, respect, and cooperation among team members.

    Serves as a role model to demonstrate appropriate behaviors.

    Supports all day-to-day operations.

    Understands employee positions well enough to perform duties in team member’s absence.

    Coaches, counsels and encourages team members.

    Handles team member questions and concerns

    Guides daily Front Desk, PBX, Night audit operations.

    Communicates performance expectations to team members in accordance with job descriptions for each position.

    Front Desk Staff Scheduling and Payroll control.

    Communicates daily forecast/activities to all Front Desk, PBX and Reservation team members

    Manages day-to-day operations, ensuring the quality, standards and meeting the expectations of the customers on a daily basis.

    Develops specific goals and plans to prioritize, organize, and accomplish your work.

    Handles complaints, settling disputes, and resolving grievances and conflicts, or otherwise negotiating with others.

    Scheduling department meetings and continually communicates a clear and consistent message regarding the goals to produce desired results.

    Strives to improve service performance.

    Supervises staffing levels to ensure that guest service, operational needs and financial objectives are met.

    Trains staff on adherence to all credit policies and procedures to reduce bad debts and rebates.

    Supervises same day selling procedures to maximize room revenue and property occupancy.

    Understands the impact of Front Desk and reservations operations on the overall property financial goals and objectives.

    Assisting in revenue forecasting and financial planning for Front Office Operations.

    Attend departmental Meetings when needed

    Responsible for sales to guest generated through the Front Desk.

    Monitors Wholesale contracts and manages inquiries, etc.

    PMS – System Administrator

    Support and assist in PMS System updates and changes

    Daily maintenance of unit inventory status to achieve optimal levels of revenues while maintaining high levels of guest expectations.

    Inventory Management and control

    Monitors all reservations, including Wholesale and OTA reservation, enters and manage group contracts, blocks

    Ensures all guest accounts are settled correctly

    Qualifications, Education, Experience, Skills, and Abilities:

    2-3 years experiences at Hotel/Resort including previous management experience.

    Associate or Bachelor Degree preferred

    Effective conflict management and decision-making is required.

    Excellent organizational and time management skills

    Excellent communication skills

    Computer literate in Microsoft Word, Excel and Outlook

    Knowledge of SMS HOST preferred
