    Job Description

    The FINANCE COORDINATOR assists in a variety of financial projects and activities. The successful candidate will have professional ethic, honesty, and is able to work well under pressure with strong multi-tasking skills. Specific responsibilities vary, but they often include financial analysis, processing invoices, monitoring cash flow, and working with other departments as needed. The Finance Coordinator may also assist in other requests directed by the Finance Manager.

    DUTIES AND RESPONSIBILTIES:

    • Ensure filing per requested is into the right filing financial system.
    • Prepare daily cash flow and cash balance reports to headquarters.
    • Check company bank accounts and make analysis, tracking any unusual transactions from the daily reports
    • Send cash receipts to Sales Department.
    • Analyze unusual transactions without supporting OA system to the regarding departments.
    • Office Supplies Replenishment -Review OA payment requests and process the payments per managements' requirements and also to verify payment from Weekly/Monthly Cash Inflow and Outflow reports.
    • Update the fishbowl Inventory system.
    • Manage and execute administrative tasks and duties for Finance, including processing invoices, mail distribution, expense reports, travel arrangements, supplies and other clerical duties
    • Prepare and deliver various accounting reports for every individual project on a regular basis. e.g. Cash in and Cash out weekly and monthly summary report/Daily Cash Balance Report
    • Develop and maintain a database of records to ensure smooth transaction for all financial processes
    • Assist management with reimbursements and provide summary reports
    • Prepare regular productivity reports and evaluate for completeness and authenticity of information. Validate the invoices provided by the other department.
    • Coordinate with vendors and customers for the payment issue
    • Provide general meeting support including planning, notices, minutes and other correspondence.

    JOB REQUIREMENTS:

    • Experience with managing complex calendars and to schedule and coordinate large, complex meetings and conferences.
    • Advanced Word processing skills and experience (e.g. formatting, tables, math functions, merge functions, graphics, charts) and various computer skills, including Excel, Microsoft Word, PowerPoint, Microsoft Outlook, electronic mail software, database management software, and other standard office applications.
    • Must be able to translate or format documents between similar software packages, and different platforms.
    • Experience and/or knowledge to research, extract, compile, elicit, and summarize information from a variety of sources to prepare reports and information clearly and concisely.
    • Ability to record and format meeting minutes and track follow-up items.
    • Knowledge of and/or experience to create and maintain filing systems for prompt retrieval of information for all office staff.

    MINIMUM QUALIFICATIONS:

    • 1 to 3 years of Finance and/or Accounts Payable/Receivable experience or a combination of both.
    • Minimum of 1 year experience in QuickBooks experience.
    • Bachelor’s Degree from a four-year university or college in Business Administration with majors/minors in Finance, Accounting, or related field required.
