    Position Overview

    Facility: Compassion Care Group Residential Treatment Facility

    Location: Dayton, OH

    Status: Full-Time salaried

    Shift: M-F 9:00 AM – 5:00 PM 1 weekend day after 3rd weekend.

    Reports To: Program Director

    Supervises: Approximately 6-8 Behavioral Health Technicians per shift

    On-Call/Coverage: On-call and/or coverage as needed for staffing shortages, emergencies, and operational needs (including potential weekend/holiday support)

    Position Summary

    The Day Shift Supervisor serves as the frontline leader and provides operational oversight for day-shift Behavioral Health Technicians in a residential treatment program serving youth ages 10–18. This role is responsible for ensuring a safe, structured, and therapeutic environment by maintaining a consistent presence on the unit, managing Behavioral shift operations, coaching staff in real time, overseeing documentation quality, and supporting the training, development, and performance evaluation of team members. As the primary leader during the day shift, the Supervisor serves as the primary escalation point and works in close partnership with the Program Director.

    Essential Duties & Responsibilities

    1. Shift Operations & Hands-On Unit Leadership

    Lead daily shift start-up, including assignments, census review, risk alerts/precautions, and setting priorities for the day.

    Maintain high visibility on the unit during peak activity times (such as transitions, activities, meals, and visits).

    Provide immediate support during escalations and ensure appropriate follow-through and communication.

    Ensure consistent implementation of program structure, rules, and behavior support expectations.

    Coordinate breaks and coverage to maintain safe supervision ratios and consistent programming.

    1. Supervision, Coaching & Staff Development (6 BHTs/Shift)

    Provide in-the-moment coaching, modeling, and feedback to strengthen staff skills and consistency.

    Conduct regular one-on-one check-ins and structured observations to reinforce expectations and support growth.

    Support onboarding of new BHTs, including orientation, competency check-offs, and shadowing plans.

    Lead brief shift “skill refreshers” on topics like documentation standards, communication norms, and professionalism.

    Promote a culture of accountability, teamwork, and hands-on support.

    1. Performance Management & Evaluation

    Monitor performance and address concerns promptly through coaching and documentation, in accordance with policy.

    Provide evaluation input and documentation to the Program Director, noting observations, strengths, and areas for improvement.

    Participate in performance improvement planning, follow-up, and recognition of strong performance.

    Track recurring issues such as attendance, documentation quality, and professionalism, and escalate trends as needed.

    1. Safety, Compliance & Documentation Oversight

    Ensure staff follow facility policies, safety protocols, and reporting requirements.

    Ensure shift documentation is accurate and completed on time, including shift logs, incident documentation, notes, and required checklists.

    Conduct spot-check audits and address documentation issues through coaching and retraining.

    Support compliance readiness and participate in internal reviews as assigned.

    1. Communication & Coordination

    Act as the day shift point-of-contact for BHT questions, unit coordination, and operational decisions.

    Ensure consistent shift handoffs and continuity across shifts.

    Provide timely updates to the Program Director regarding incidents, staffing challenges, and unit needs.

    Participate in meetings and collaborate with other facility leaders as assigned.

    1. Staffing, Scheduling Support & On-Call Coverage

    Assist with day shift staffing plans and adjustments, including call-offs, reassignments, and break coverage.

    Provide on-call response and coverage as needed, which may include:

    Phone support to unit staff

    Arriving early, staying late, or covering additional shifts when necessary

    Supporting weekend or holiday coverage when operationally required

    Communicate staffing gaps and proposed solutions to the Program Director.

    Required Qualifications (Sample)

    High school diploma or GED required; Associate’s or Bachelor’s degree in human services or related field preferred.

    Minimum of two years of experience in residential youth services, behavioral support, or a similar environment required.

    Prior lead or supervisory experience preferred, or demonstrated ability to lead teams.

    Strong skills in documentation, coaching, conflict resolution, and operational decision-making.

    Ability to work in a fast-paced unit environment with consistent on-unit presence.

    Must meet background check requirements consistent with youth residential settings.

    This schedule is designed to foster a hands-on support culture while ensuring coaching, development, and performance documentation are integrated each week.

    Daily Flow (Template)

    9:00–9:20 — Shift briefing led by Supervisor

    Census, precautions, known triggers/risk alerts, schedule review

    Assign posts/roles to 6 BHTs (primary milieu, transitions, documentation support, etc.)

    9:20–11:30 — On-unit rounding & coaching block #1

    Observe staff interactions and consistency

    Real-time coaching/modeling; reinforce expectations

    Support transitions and structured programming

    11:30–12:00 — Documentation & safety spot-check

    Review logs, check required forms, and confirm any follow-ups in progress

    12:00–1:15 — On-unit support block #2 (peak movement time)

    Coverage support, breaks coordination, unit stability

    1:15–2:00 — Admin + staffing coordination

    Adjust assignments, handle call-offs, and communicate needs to the Program Director

    2:00–3:00 — Structured coaching/observation block

    Formal observation of one BHT (or two shorter observations) for evaluation notes

    Immediate feedback after observation

    3:00–5:30 — On-unit rounding & coaching block #3

    High-visibility coverage and support through later afternoon programming

    Reinforce structure and expectations

    5:30–6:10 — Staff huddle + skill-builder (10–15 minutes) + documentation push

    Quick topic: communication standards, shift notes quality, professionalism, etc.

    Ensure documentation is completed before wrap-up

    6:10–6:45 — End-of-shift quality check

    Confirm logs complete, incident documentation submitted, follow-ups assigned

    6:45–7:00 — Shift handoff + escalation summary

    Clear handoff to next leader/shift; update Program Director as needed

    Weekly Structure (Example: Four-Day Workweek)

    Assuming a Monday–Thursday schedule (adjust as needed):

    Day 1 (Mon): Unit priorities + staffing plan

    2:00–2:30 PM: Weekly priorities check-in with Program Director

    Identify 1–2 team focus areas (documentation, shift communication, consistency)

    Day 2 (Tue): 1:1 development check-ins

    Two 20-minute one-on-one sessions with BHTs (rotating schedule so everyone gets monthly time)

    Day 3 (Wed): Performance observation day

    Two formal observations (30 min each) with documented feedback notes

    Day 4 (Thu): Documentation quality + recognition

    Quick audit of weekly documentation trends

    10-minute “wins & lessons” huddle to highlight strong performance and improvements

    Performance Evaluation & Coaching Cadence (Aligned to 6 BHTs/Shift)

    Daily: Real-time coaching and quick end-of-shift feedback to staff on duty

    Weekly:

    At least two structured one-on-ones (rotating)

    Two formal observations (documented)

    Monthly: Each BHT receives a documented development conversation (on a staggered basis)

    Quarterly/As Required: Formal evaluation input to Program Director, with goals and competencies update
