Who You Are:
The Support Administrator (SA) is responsible for the day-to-day operational and communication backbone of the Client Success function, supporting clients and residents throughout the service lifecycle. This role serves as the first point of contact for inbound client and resident communication, and ensures that service issues are logged, tracked, and resolved through close coordination with Regional Operations.
The Support Admin acts as the connective tissue between Client Success and Operations — maintaining accurate records, surfacing service issues quickly, and keeping documentation and systems current so that Onboarding Managers, SAMs, and Directors can trust the data behind every client relationship
*Can be located in FL or TX
Essential Duties and Responsibilities:
- Handle inbound and outbound calls related to client success — including client and resident inquiries, service questions, and escalation intake.
- Monitor and respond to resident emails in a timely, professional manner, routing issues appropriately when resolution requires Operations or Client Success involvement.
- Manage the Client Success inbox: triage incoming messages, respond directly where appropriate, and escalate or reassign items that require OM, SAM, or Director attention.
- Review daily service IDs to confirm services were completed as scheduled, flagging discrepancies, missed services, or irregularities for follow-up.
- Log and manage tickets in the portal, ensuring accurate categorization, timely updates, and closure documentation for every issue raised.
- Communicate in the centralized Regional HUBs with Operations on service-related matters — including service ID discrepancies, complaints, and other field-level issues — to ensure timely resolution and clear internal visibility.
- Maintain documentation, system data, and tracking accuracy across the CRM and Butler Plus App, including client records, credentialing status, and COI verification.
- Support the onboarding and handoff process by keeping client files current and complete, and by validating that required documentation is filed and up to date.
- Compile inputs for Health Score and pattern reviews (e.g., recurring RADAR flags), surfacing trends to the Onboarding Manager or SAM as needed.
- Additional duties as assigned.
