    Our client, a service based company, is seeking a detail-oriented Office Administrator with expertise in managing office operations and ensuring efficient administrative processes.

    The ideal candidate will oversee various administrative functions, including billing management, collections, purchasing, and compliance. They will play a crucial role in supporting the sales team, analyzing financial data, and maintaining accurate records to facilitate smooth business operations.

    Responsibilities:

    • Set up and manage ongoing billing processes for all customers, ensuring accuracy and timeliness.
    • Manage the collections process, ensuring prompt payments from customers and resolving any billing disputes efficiently.
    • Purchase hardware, manage usage, and maintain inventory levels to support business needs.
    • Prepare documents and ensure compliance with statutory laws and financial regulations, maintaining accurate records.
    • Assist the sales team by creating sales quotes and providing necessary administrative support.
    • Analyze current bills for potential customers, identifying opportunities for cost savings and operational improvements.
    • Upload and maintain usage rates for the selling system and purchasing system, ensuring data accuracy.
    • Monitor upstream carriers for health and pricing, keeping abreast of industry trends and changes.

    Qualifications:

    • 1+ years of experience in office administration or a related field.
    • Demonstrated ability to maintain a high degree of accuracy and attention to detail in administrative tasks.
    • Ability to effectively multitask and prioritize tasks to meet deadlines and achieve objectives in a fast-paced environment.
    • Excellent organizational and communication skills, with the ability to manage multiple responsibilities efficiently.
    • Strong critical thinking skills to analyze complex issues and develop effective solutions.
    • Proficiency in MS Office Suite and familiarity with billing and inventory management software preferred.
    • Willing to perform any other tasks related to purchasing, ordering, and office administration as needed.
