Position Summary: Join our dynamic surgery practice as a Surgical Scheduler/Medical Assistant where your organizational expertise and compassionate approach will ensure smooth and efficient surgical coordination. In this vital role, you will coordinate surgical appointments, communicate effectively with patients, surgeons, hospitals, and manage detailed documentation to support high-quality patient care. You will also be able to interact clinically with patients prior to surgery as a medical assistant during clinic hours.
Primary Duties:
Schedule general surgery procedures accurately for 4 surgeons
Verify insurance coverage for surgeries and provide details of patient coverage
Obtain insurance pre-authorizations using a variety of online and telephonic tools for surgeries and facilities
Confirm and collect patient deposits for surgeries within timeframe allocated for surgery to proceed on DOS
Review and update electronic medical records, ensuring all documentation aligns with clinical notes, CPT coding, ICD-10/ICD-9/ICD coding standards, and care plans
Communicate with patients regarding pre-operative instructions, appointment confirmations, and post-operative follow-up care
Manage all aspects of follow-up items required for surgery to proceed as planned on DOS for surgeon at facility
Collaborate with physicians, nurses, billing departments, and facility schedulers to coordinate surgeries, and timely and proactively resolve scheduling conflicts
Clearly communicate all aspects of surgery and medical treatment details with bilingual patients verbally and in writing, in person, by phone, email, etc.
Maintain accurate records of appointments, cancellations, reschedules, and procedural details in surgery binder and patient records
Communicate confirmed daily surgery schedule at hospitals and/or surgery center to surgeons
Communicate with surgeons regarding any patient concerns or reported clinical questions related to care plan or treatment
Obtain/ request radiology imagining, medical records, labs, etc. as needed proactively
Prepare MA clinic list weekly for surgeons outpatient clinic weekly
Request/process electronic imaging orders, prescription requests, referrals, etc. per provider requests
Assist with clinic MA duties as assigned (~40%)
Maintain weekly inventory of clinical supplies for outpatient office; maintain clean/organized patient rooms with other MA staff daily
Cross train across team roles to support goals of the practice
Other duties as assigned
Qualifications:
Bilingual English/Spanish is required
1-year previous specialty surgical scheduling experience required
Proven experience scheduling within a clinical or hospital environment; general surgery specific experience a plus
Strong knowledge of EMR systems such as EPIC, and ECW familiarity
Excellent understanding of medical terminology, CPT and ICD-10/ICD-9 coding standards, insurance verification and pre-authorization processes
Reliable transportation required - practice locations in Germantown on Wed/Thurs and Silver Spring Mon/Tues/Fri - Flexibility is required.
