    Monday Evenings (4:00 PM - 8:15 PM)

    Tuesday Evenings (4:00 PM - 8:15 PM)

    Wednesday Evenings (4:00 PM - 8:15 PM)

    Thursday (4:00 PM - 8: 15 PM)

    Saturday (7:30 AM - 3:15 PM)

    Job Summary:

    SwimWest Swim School is currently seeking upbeat, motivated and guest-experience minded Front Desk Representative. The Front Desk/Family Facilitator position is one of the most important positions in the company. You would be responsible for providing superior customer service to our clientele. You must be positive and gracious toward our students, parents, guests, and potential customers. You would be responsible for implementing our front desk policies and procedures to provide the best quality and customer service possible. You would be responsible for working closely with the other office management to provide support/concern with the programs. This position is responsible for handling inquiries about the facility and programs, selling our programs, and promoting our staff/lessons/memberships/facility. You are the first point of contact for our guests and need to be ready for anything at any time. Our facility provides exceptional lasting impressions for our families and it all begins with you.

    Specific Job Duties:

    Provide a WOW experience to all SwimWest families. Be extremely outgoing, friendly, happy, and gracious.

    Arrive on the job at least five minutes prior to the assigned shift.

    Greet customers by name, say goodbye (calling them by name) as they leave. Learn every customer’s name on your shift.

    Promptly answer the phones when they ring with a smile on your face. Check and return all voice mails and emails every hour.

    Sell lessons, family swims, water fitness, lap swimming, and retail. Accept payments and record sales and payments.

    Treat everyone entering the facility as you would a guest in your home. Stand up to greet, smile, and step out of the desk area to give tours of the facility.

    Provide a safe environment. Consistently clean office, retail, and lobby, keeping trash, clutter and lost and found out of the front desk area.

    Perform miscellaneous tasks as assigned by the manager on duty.

    Personal phone calls, emails, and texts should be taken care of on a break, with no cell phones or food in the office area.

    Find a substitute in the event you are unable to work. “Time off request forms” must be filled out and submitted to the manager at least 10 days prior to the expected missed shift.

    Attend in-service training sessions scheduled by the Managers and/or owner.

    Innate willingness and contentment in serving others.

    Remain calm, personable, and professional while multitasking.

    Enrollment

    Sell and promote lessons and family swims, etc.

    Enroll families in quarterly lessons (record student in Jackrabbit, confirm payment, day, time, level, and write thank you notes for new enrollments).

    Love your customers!

    Front Desk Dynamics

    Field messages and notes from customers/clientele regarding ideas and concerns and distribute them accordingly.

    Never miss a call, take name and number, and return calls as soon as you can.

    Keep the front desk area presentable, professional, and current.

    Keep the front desk and lobby area clean and safe at all times.

    Make professional-looking copies of documents regularly and have them accessible.

    Ensure marketing promotions are well displayed.

    Make sure to check the voicemail for missed calls and return all messages in a timely manner.

    Employee Relations

    Work well with others

    Participate in staff events, and get involved with special events; swim meets, open houses, parades, etc.

    Work closely with all staff to ensure all schedules are accurate and up-to-date, in addition to expressing concerns, questions, ideas, and daily updates.

    Supplies

    Help restock all merchandise, when necessary, and log merchandise as it leaves the office and is put out on display or to use in the office.

    Work with Front Desk Manager to ensure retail is well-stocked and available. Speak with Managers when stock is low.

    Additional Duties:

    Create relationships with current customers and staff. Strive to recruit customers and employees. Demonstrate the highest level of service to our clients and every other person who comes in contact with our swim school.

    Have the ability to work independently.

    Be reliable and punctual and a good example for other staff.

    Find a suitable sub when absent.

    Assists in keeping the location neat and organized

    Cognizant of potential liability issues.

    Daily walk-through of the facility to monitor any possible areas in need of attention

    Be prepared to handle emergencies calmly and properly

    Assist in opening and closing duties.

    The Front Desk/Family Facilitator leads the practices and objectives that will provide the company with a high-performance culture that emphasizes empowerment, quality, producing and standards, goal attainment, and will seek ongoing development of a superior workforce.

    Working Conditions:

    Physical Demands: The Front Desk Employee may have to spend long hours sitting and using office equipment, computers and attending meetings.

    Environmental Conditions: The Team Office is a busy office in a busy facility. The Front Desk Employee will have to serve a number of people and projects at one time and will be interrupted frequently to meet the needs and requests of customers and the team. The Front Desk employee may find the environment to be busy, noisy and will need excellent organizational and time and stress management skills to complete the required tasks.

    Sensory Demands: Sensory demands may include the use of the computer which may cause eyestrain and occasional headaches and the constant noise and act of a busy office environment.

    Mental Demands: The Front Desk Employee will have to manage a number of requests and tasks at one time and must be prepared to deal with emergencies and stressful situations at any time.

    Education/Experience: High school diploma or GED required. Some college preferred. Two years of previous customer service and/or administrative office experience required. Intermediate level computer skills required using Word, Excel and other software systems.

    Certifications and licenses: CPR, First Aid, and AED certifications required. It can be obtained through SwimWest Swim School after training is complete.
