Job Title: Senior Administrative Assistant Onsite Supervisor
Position Description:
As a Senior Administrative Assistant Onsite Supervisor, you will support a DoD organization located in San Diego, CA. In this supervisory role, you will provide administrative, organizational, and operational support for the Executive leadership team.
Responsibilities include:
• Carrying out supervisory responsibilities in accordance with the organization’s policies and higher-level directives.
• Performing a variety of administrative and clerical duties e.g., data entry, typing, reports processing, schedule coordination, calendar support, and phone support.
• Performing all administrative requirements, to include reviewing, printing, scanning, routing, and maintaining correspondence, memos, agendas, minutes, finance budget documents, and other relevant materials appropriate to the assigned department.
• Assisting in the development and implementation of department training; tracking and ensuring all required training and certifications are completed and recorded.
• Acting as a liaison with other departments, external organizations, and staff by responding to inquiries regarding department policies, procedures, and functions.
• Monitoring daily operations of access to facilities, welcoming guests, maintaining visitor log, and tracking and ensuring personnel check-in and check-out procedures are met.
• Developing and implementing policies and procedures to ensure the accuracy and maintenance of records and forms management programs.
• Performing other duties as assigned.
Minimum Requirements:
• A minimum of three years’ experience in a supervisory role or team management position.
• A minimum of three years’ experience within military medical R&D activities or the military.
• Ability to delegate tasks and set deadlines.
• Ensure that the project team’s performance consistently meets or exceeds the established customer satisfaction benchmarks.
• Comprehensive knowledge of DoD correspondence manuals, Navy experience preferred.
• Proficiency in operating a desktop computer, printer, scanner, facsimile, and other office related equipment.
• Proficiency in Microsoft Word, Excel, PowerPoint, SharePoint, and Adobe Acrobat.
• Proficiency in verbal and written communication.
• Have strong communication and influencing and time management skills.
• Forward looking thinker, who actively seeks opportunities and proposes solutions.
Place of Performance:
The primary place of performance shall be San Diego, CA.
