The Vendor Coordinator is responsible for managing new and existing work orders related to service requests from the residents living in the company’s rental homes. They will assign and monitor the production of vendors working to satisfy the repairs needed. They will also process the associated invoices and collaborate with the accounting department to ensure vendors are paid in a timely manner.
RESPONSIBILITIES
§ Create and closeout Work Orders
§ Submit Works Orders to vendors and/or schedule Maintenance Techs according to the standard workflow
§ Coordinate with Maintenance Techs, vendors, and residents for all scheduled and nonscheduled maintenance work
§ Maintain records and monitor MIMO workflow status daily
§ Proactively communicate with resident and field staff through to the completion of work
§ Collaborate with accounting to ensure vendor invoices are processed timely for payment
§ Receive mow list for processing and create work order numbers on 15th and 30th (Lawn.com is the vendor for all the current market
§ Reconcile invoices for work orders received from vendors via excel spreadsheet and email to the vendor, Accounts Payable, and the Director of Vendor Services with updates. Collect invoices, credit memos, and submit them to AP
§ Management of Daily Work Orders for Review. Provide detailed information on why the work orders need approval.
§ Management of weekly AP Punch List Report and provide detailed information and solution to correct any discrepancies. Add punch list to work orders as needed.
§ Management of weekly Unable Invoice to Pay Aged Invoices. Provide information on why the work order is being held up in AP and provide a solution to correct it. Contact and correspond with all vendors to correct work order invoices with a credit memo to allow proper payment for work performed.
§ Other duties as assigned
REQUIREMENTS
§ Knowledge of Propertyware preferred
§ Strong technology skills including MSOffice and client work order management software
§ Strong and accurate typing skills
§ Proven ability to multi-task
§ Problem-solving experience a plus
§ Excellent verbal and written communication skills
§ Prior maintenance experience preferred
§ Prior customer service experience required
