    PART-TIME OFFICE ASSISTANT - 21 HOURS PER WEEK - FIXED WEEKLY HOURS AND DAYS MUST HAVE EXPERIENCE WORKING IN AN OFFICE IN A CLERICAL POSITION DO NOT APPLY IF YOU DON'T HAVE THIS EXPERIENCE!

    Under the supervision of the Synagogue Office Manager, the Office Assistant supports the synagogue and congregants, works closely with the office manager, as well as the Board President, Rabbi, and chairpersons of various committees.

    Overall daily support of the Synagogue office including, but not limited to:

    Preparation of weekly announcements, monthly Bulletin, monthly Board meetings.

    Updating of the synagogue records as necessary

    Serving as in-person and telephone receptionist

    Providing administrative support for Rabbi, staff, and Board of Directors

    Updating the synagogue calendar

    Updating membership data base and files

    Receipt and distribution of mail

    Ordering office supplies as needed

    Works with Office Manager to prepare all High Holiday materials

    Weekly and monthly updates to the Synagogue website.

    Other special projects and duties as assigned.

    Assistance with Financial Operations in the following ways:

    Receiving and distributing bills for verification

    Allocating payments from checks received and online payments

    Preparing weekly bank deposit and spreadsheets, transfers of online payments to the appropriate bank accounts

    Updating and maintenance of the yearly dues spreadsheet throughout the year to support the Treasurer.

    Maintaining records of donations, notification and thank you notes

    Serving as in-person and telephone receptionist:

    The Synagogue office personnel are often the first person who members and guests encounter. The office assistant is expected to greet people warmly, provide assistance, answer questions, and direct them as needed. They are responsible for passing along messages to the appropriate individuals when needed.

    The ideal candidate should possess the following abilities:

    Ability to work independently, while following the direction of the office manager. Deal effectively and tactfully with a wide variety of individuals – in person, over the phone and in writing.

    Warm, enthusiastic and welcoming to members and guests.

    Ability to work well with others – including members of the staff, congregation, guests and volunteers.

    Demonstrate a high level of proficiency in MS Office Suite of Products

    (Word, Excel, Outlook). A willingness to learn new programs and to self-teach if necessary.

    Excellent organizational skills, accuracy and attention to details. Must be able to manage processes and multi-task.

    Versatility, flexibility and a willingness to adapt to changing priorities.

    Excellent written communication and presentation skills.

    Commitment to excellence and high standards.

    Required Education and Experience

    Minimum 3 years of demonstrated experience in increasingly responsible clerical capacity.

    Must be proficient in Microsoft Office programs: Word, Excel, Outlook

    Knowledge of Acrobat, Adobe Express, Microsoft Publisher a plus

    Familiarity with Jewish practices and calendar event (holidays, sabbath, etc.) is not required but would be a plus
