Position: Administrative Office Assistant

Job Overview:
We are seeking an Administrative Office Assistant who will assist with administrative tasks in office operations and provide administrative support to the CEO. The Administrative Office Assistant should demonstrate the ability to multitask and work independently. This person will play a vital role in the daily functions of the organization and help maintain a positive and professional work environment. The ideal candidate must possess excellent organizational and communication skills, be proactive, resourceful, confident, and adaptable.
Key Responsibilities:
- Proactively manage and organize CEO’s calendar, appointments, and meetings; coordinate travel arrangements and expense reports; manage receipts and submit to accounting.
- Organize and plan company-sponsored events, including team-building activities and offsite meetings.
- Coordinate marketing and promotional activities by working with outsourced vendor(s) to order promotional materials, manage company website and social media presence, create and send company newsletter, and other marketing activities.
- Act as the company liaison to coordinate efforts with our 3rd party HR partner on entering new employees, maintaining employee files, and assisting with benefits enrollment.
- Coordinate and manage apprenticeship program with State of Kansas and Hutchinson Community College, to include enrolling new students, setting up OSHA 10 courses, monitoring student grades and on the job training hours, and organizing schedules.
- Effectively manage the daily operations of the office including answering and redirecting calls, responding to emails, and managing correspondence.
- Set up new employees in online systems and technical office equipment.
- Conduct research, prepare reports and presentations, and analyze data to support efficient operations.
- Coordinate with employees to manage required quarterly DOT random selection drug screens.
- Maintain office supplies and provide general administrative support across the organization to ensure effective and efficient office operations.
Requirements:
- Minimum of 2 years of administrative experience within an office setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and ERP systems.
- Excellent communication (verbal and written) and interpersonal skills.
- Exceptional organization, planning, and time management abilities.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team, flexible with a positive attitude and strong work ethic.
- Accounting knowledge strongly preferred.
- Demonstrated experience in event planning and coordinating with vendors
- Associate's degree or higher in Business Administration or a related field preferred but not required.
