    JOB TITLE: SR. RECEPTIONIST

    LOCATION: 36 EAST INDUSTRIAL RD, BRANFORD, CT 06405​​​​​​​

    DURATION: 6+ MONTHS CONTRACT

    POSITION SUMMARY:

    The position provides superior front desk reception and administrative support to Digital Science divisional leaders as well as office management tasks for the Branford, CT office. This position provides incredible organization for ever-changing business calendars and complex schedules. The successful candidate provides strong administrative support to the department’s initiatives, handles multiple projects simultaneously, and quickly learns about the procedures involved in the administration of plans. Key Responsibilities: • Serve as all-around assistant for the digital science business unit as well as the office manager for Branford, CT office. • Manage all types of daily correspondence to ensure professional, accurate and timely response and appropriate prioritization; direct information to the correct point of contact and correspond internally and externally • Utilize the full suite of Microsoft office products to prepare high quality correspondence, reports, and presentations • Global and domestic travel planning, logistics including scheduling flights, hotel accommodations, ground transportation, visa processing, etc.; anticipate, identify, analyze and solve issues/timing conflicts independently and discretely, and prepare detailed itineraries and ensure accuracy and timely delivery of travel documents to travelers • Prepare and reconcile time and expense reports and perform audits as necessary • Execute additional administrative tasks including procurement of office supplies, set-up and installation of new technology including phones, faxes, computers, etc. • Coordinate meetings involving all stages of planning including logistics, vendors and materials (in person, video conference or conference calls), and various other events for multiple senior executives and global teams across multiple time zones • Prepare, reconcile and track expense reporting and reimbursement via online system • Create and develop highly professional visual documents and presentations for senior management • Act as a liaison with other departments and outside organizations • Additional research & special projects as needed including event creation & production, gifting, etc. Minimum Requirements/Qualifications: • ASSOCIATES DEGREE OR COMBINATION OF EDUCATION AND EXPERIENCE (5 OR MORE YEARS); BACHELOR’S DEGREE PREFERRED • 5+ YEARS’ EXPERIENCE IN AN ADMINISTRATIVE ROLE SUPPORTING EXECUTIVES WITH GLOBAL RESPONSIBILITY • HIGHLY PROFICIENT IN MS OFFICE (WORD, EXCEL, OUTLOOK AND POWERPOINT) AS WELL AS OTHER WEB-BASED PROGRAMS AND VIDEO CONFERENCING • Excellent organizational, problem-solving and follow-up skills, and the ability to effectively handle multiple priorities while working under little supervision • Executive presence, maturity and judgment, and sound decision-making in order to communicate on an executive level and maintain a high degree of confidentiality • Collaborative team player with proactive approach; ability to take initiative • Effective interpersonal and listening skills, telephone etiquette, superior oral and written communication skills, proofreading skills and attention to detail • Skilled and experienced in organization and time management to juggle multiple priorities with competing deadlines • Demonstrated success being tuned in to customers, managers, peers, and others for strong teamwork and relationships Other Job Requirements: • Adhere to OHS policies and procedures and ensure a safe and healthy workplace environment
