POSITION SUMMARY:
Primary responsibility is to maintain organization for the Information Technology (IT) Department assisting and supporting a variety of IT processes and projects as well as performing duties as a Film Booker and supporting the VP of Facilities. This individual will be provided with general supervision by the SVP of Information Technology, VP of Film and the VP of Facilities and will need to be organized, self-motivated, resourceful, and able to successfully handle multiple concurrent duties and assignments with minimal direct supervision.

RESPONSIBILITIES:
Information Technology / Facilities
Arrange travel schedules for employees. Coordinate internal and external meetings. Assist in managing group calendars.
Manage general office affairs, identifying issues, recommending solutions and managing implementation.
Prepare expense reports and manage monthly submissions/processing.
Organize department finances including invoice processing, project budgets and department budgets
May be called upon to assist in various tasks throughout the office, including event planning, data entry, content management, etc.
Film Booker
Participate in weekly film meetings which determine how films will be placed throughout our different locations
Communicate and coordinate with film distributors related to invoicing, booking, reporting
Manage the film scheduling process to ensure that all locations are properly scheduled and are displayed properly on various showtime delivery systems (company website, Fandango, Google, etc.)
Work with the VP of Film to ensure film payments are processed correctly and on-time.
Act as a liaison between the film distributors and internal staff (WestWind VP of Operations and Director of Marketing) to ensure we are properly supported by the film distributors
QUALIFICATIONS:
2+ years related administrative experience or recent graduate with applicable degree.
Information Technology interest and experience a plus.
Proven organizational skills. Able to prioritize and organize numerous tasks and complete them under time constraints. Must have the capacity to balance both short- and long-term issues effectively and handle many simultaneous and often conflicting and changing priorities.
Ability to proofread complex materials for contextual, grammatical, typographical and spelling errors. Strong attention to details.
Strong written and verbal communication skills. Must be able to communicate effectively within the organization as well as externally with customers.
Professional attitude and demeanor. Communicates and effectively interacts with a diverse group of team members.
Strong customer service skills.
Advanced skills with Windows based software, primarily MS Word, Excel and PowerPoint.
Exhibits honesty, discretion and sound judgment when dealing with proprietary and confidential employee and Company information.
Flexibility and open to changing situations and opportunities and able and willing to exhibit support.
