    POSITION SUMMARY:

    Our longtime Executive Assistant is retiring but will stay on to train her successor, whose primary responsibility will be to support both of our CEO’s day to day needs on a personal and professional level. Additional administrative support will be provided to the CFO and General Counsel’s office. Top priority is to anticipate needs and prioritize throughout the day. For the CEOs, keep personal properties and family members organized by supporting a variety of House Managers and vendors. Track invoices for timely payment. This individual will be provided with general supervision by the Chief Executive Officers and will need to be organized, self-motivated, resourceful, and able to successfully handle multiple concurrent duties and assignments with minimal direct supervision. This position regularly handles highly confidential information including financial accounts and tax records.

    RESPONSIBILITIES:

    First point of contact between family members and office

    Coordinate with Caretakers to ensure personal and real property is managed appropriately.

    Pay bills on time and balance checkbooks; track donations for tax purposes.

    Arrange travel by private jet or commercial airlines along with hotel/dinner reservations.

    Maintain business and personal calendars.

    Track health insurance as well as home, auto and umbrella policies.

    Answer phone calls and assist with questions or direct accordingly.

    Assist the departments with all administrative tasks including but not limited to meeting scheduling, placing daily lunch orders and ordering office supplies and reviewing incoming mail.

    Perform routine administrative tasks such as invoice coding, copying, scanning, faxing, filing.

    Follow-up and follow-through on action items.

    Manage season tickets to sports events. Coordinate employee drawings for unused tickets.

    Provide oversight of Company travel through SWABIZ, Hilton Hotels and Avis.

    Perform other duties and manage additional projects as assigned by the team.

    Consistently provide customers and team members with friendly, attentive, courteous, prompt and informative service.

    QUALIFICATIONS:

    5+ years related executive administrative experience as well as experience with family dynamics.

    Proven organizational skills. Able to prioritize and organize numerous tasks and complete them under time constraints. Must have the capacity to balance both short- and long-term issues effectively and handle many simultaneous and often conflicting and changing priorities.

    High level of demonstrated, proactive problem solving skills and resourcefulness is a necessity.

    Professional attitude and demeanor. Strong written and verbal communication skills. Communicates and effectively interacts with a diverse group of team members with a natural affinity and ability for details.

    Advanced skills with Windows based software, primarily MS Word, Excel, and Teams.

    Exhibits honesty, discretion and sound judgment when dealing with proprietary and confidential Family, Employee and Company information.

    Flexibility and open to changing situations and opportunities and able and willing to exhibit support.

    Shows initiative, willingness and aptitude to use own discretion in finding solutions to problems or presenting options and ideas to enhance current processes or procedures; handles situations promptly.

    Personal Assistant interest and experience a plus.
