    Reports to: Account Specialist, Record Retrieval Department

    Purpose:

    Claimants, attorneys and claims adjusters rely on T-Scan to gather information necessary to ensure that claims, settlements and disputes can be settle quickly and efficiently. Without T-Scan, the process can be chaotic, complex and frustrating for users that do not operate in this world on a regular basis. The Record Calling Specialist role is a vital to the company, allowing T-Scan the ability to consistently and efficiently deliver records. Individuals (claimants), attorneys, paralegals & legal assistants' lives are made easier through the success of our operations.

    Compensation and Benefits

    Compensation: $25.00 per hour.

    Hours of Work:

    This is a fulltime position in our office physically, 40 hours per week, Monday to Friday with occasional overtime. Does starting at 9:00AM work best for your gym schedule or getting the kids off to school? Are you a morning person and more productive earlier in the day? We're flexible, you pick your start time, between 7:30AM and 9:30AM.

    Essential Functions/Major Responsibilities:

    • Maintain confidentiality concerning clients' data and business practices, company financial information and other sensitive company strategies and information.
    • Process customer orders, including creating new packets, and/or distributing packet load
    • Draft client facing emails, e.g. rejections, problem requests, additional information, etc.
    • Draft and review subpoenas, stipulations and authorizations
    • Research provider(s) as needed, develop current phone/fax number, including new providers and/or UAL providers and submitting request packets to providers.
    • Inform Account Specialist/ Supervisor of provider or customer concerns and issues relating to the case
    • Completes overflow rush/routine status checks
    • Complete overflow radiology/pathology orders
    • Completes overflow opposing council orders
    • Provide case updates as needed
    • Process customer orders/changes according to established department policies and procedures.
    • Record all account activity into the Tracking System known as “The Portal”.
    • Ensuring all steps required to obtain records are taken, including but not limited to payment requests, resending packets, follow up with multiple departments or locations, making sure all necessary documents (guardianship papers, death certificates, etc.) accompany requests when necessary, etc.
    • Handles Problem Records including, but not limited to invoices, payment issues, missing records, incorrect records, etc.
    • Internal Emails, including: ‘blowbacks', CD's, X-Ray, Bill Out, etc.
    • Assist other teams and departments as needed

    Specific Job Skills

    Education & Experience:

    • Required: High school diploma or GED

    • Preferred: Associates Degree and 2+ years related experience, or 5+ years of industry experience or related tasks

    • Technical Skills Required:
      o Minimum of 60 WPM
      o Proficient in Microsoft Suite, including but not limited to: Word, Excel, Outlook
      o PDF programs, i.e. Adobe or Bluebeam

    • Preferred minimum of 3-5 years in an office setting

    Working Environment & Physical Requirements:

    This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and fax machines. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms and requires the ability to occasionally lift office products and supplies up to 20 pounds.
