    RECORD CALLING SPECIALIST

    CLASSIFICATION: FULL-TIME, NON-EXEMPT

    REPORTS TO: ACCOUNT SPECIALIST, RECORD RETRIEVAL DEPARTMENT

    PURPOSE:

    Claimants, attorneys and claims adjusters rely on T-Scan to gather information necessary to ensure that claims, settlements and disputes can be settle quickly and efficiently. Without T-Scan, the process can be chaotic, complex and frustrating for users that do not operate in this world on a regular basis. The Record Calling Specialist role is a vital to the company, allowing T-Scan the ability to CONSISTENTLY AND EFFICIENTLY deliver records. Individuals (claimants), attorneys, paralegals & legal assistants' lives are made easier through the success of our operations.

    COMPENSATION AND BENEFITS

    COMPENSATION:   Starting at $13.00- $15.00, DOE

    • We recognize and reward our hardworking employees with the following, in addition to hourly compensation: After a successful completion of the 90-day probationary period, new-hires are eligible for an additional hourly rate increase, based on the scores of a 90-day review

    HOURS OF WORK:

    This is a fulltime position, 40 hours per week, Monday to Friday with occasional overtime. Does starting at 9:00AM work best for your gym schedule or getting the kids off to school? Are you a morning person and more productive earlier in the day? We're flexible, you pick your start time, between 7:30AM and 9:30AM.

    DAY IN THE LIFE OF A RECORD CALLING SPECIALIST:

    • Check daily for task/follow-up list
    • Make approximately 50+ outbound phone calls to record custodians
    • Follow-up past due requests
    • Facilitate payments for records
    • Work with team members on problem requests.
    • Report results to Account Specialist

    ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:

    • The Record Calling Specialist primary goal is the obtainment of records. They do so by making phone calls to procure records.

    • The Account Specialist will provide the Record Calling Specialist with a list of accounts, they then will need to make the necessary calls to update the account in the company proprietary database, known as “The Portal”

    • It is mandatory that all Record Calling Specialist make a minimum average of 40 outbound phone calls per work day. 

      • Average is calculated monthly, based on number of business days
      • Average records received turnover of 17 business days or less is required
      • Minimum average of 13 records received per day is required
    • The Record Calling Specialist will also examine the scanned records file for patient information and review to see if records have been scanned recently and proceed accordingly

    • Maintains confidentiality concerning clients' data and business practices, company financial information and other sensitive company strategies and information

    COMPETENCIES:

    • Computer navigation
    • Ability to analyze, problem solve and make critical decisions
    • Ability to prioritize workload and keep track of several projects concurrently
    • Ability to communicate effectively with people- Internally and externally, both written and verbal
    • Good interpersonal and teamwork skills. Patience in working with others are essential
    • Ability to read, write, clearly speak and understand English
    • Minimum typing speed of 50 WPM

    EDUCATION & EXPERIENCE:

    • Highly Preferred o College degree and/or Customer service background
    • Preferred minimum of 1 year in an office setting

    COMPUTER SKILLS REQUIRED:

    • MS Suite: Word, Excel, Outlook

    This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and fax machines. During this probationary period, the Company may terminate employment immediately, with or without cause and with or without notice. Likewise, the employee may also terminate his or her employment with the Company at any time, with or without notice and with or without cause.

    A performance evaluation is conducted at the end of an employee's probationary period (assuming the employee has made it to the conclusion of the probationary period), to discuss job responsibilities, standards and performance requirements. A formal performance review will be conducted to provide both the company and the employee the opportunity to discuss job tasks, identify and correct performance deficiencies, encourage and recognize strengths and discuss positive, purposeful approaches for meeting goals. If the 90 day probationary period is successfully completed, a possible rate increase will be assessed.
