    Job Description

    TEAM is hiring for an Operations Coordinator to support the expansion of our client, BioSteel, and their Ready-To-Drink business in the US via increased brand awareness, distribution, sales, and trial. The Operations Coordinator (OC) position will involve weekly interaction with our Market Development Managers (MDM) and Field Activation Managers (FAMs).  The OC will need to know and understand the client’s brand strategies and ensure the program objectives and promotional goals are achieved via supporting the MDMs and FAMs with administrative tasks and field execution. 

      

    FIELD SUPPORT RESPONSIBILITIES:

    • Fully comprehend the client’s business structure, systems, and operations

    • Develop and maintain strong working relationships with key TEAM personnel

    • Ensure clear and open lines of communication with MDMs and FAMs; measure and adjust as necessary to deliver maximum results

    • Identify and assist in the management of TEAM’s internal processes by providing efficiency solutions 

    • Attend and assist with the execution of trainings: providing support with planning, preparations, and logistics 

    • Assist with training FAMs and Brand Ambassadors (BAs) as needed on client brands, scripting, and programming 

    • Provide strong communication to MDMs and FAMs to guarantee the client’s objectives are achieved

    • Occasionally attend events or trainings in local area

    • Assist in recruitment of Brand Ambassadors during high volume periods

    • Communicate with MDMs and FAMs in the Division to inform of program due dates as well as track and collect program information

    • Act as liaison between MDMs and FAMs in coordinating and ensuring all requests of MDMs are entered into event request site and fulfilled with appropriate staffing needs and event assets 

    • Provide feedback to all FAMs concerning client program details to improve consistency and quality

    ADMINISTRATIVE RESPONSIBILITIES: 

    • Weekly and monthly reporting to MDMs and Division Management 

    • Review bi-weekly payroll for accuracy 

    • Assist in tracking and monitoring event, sampling, and sales and distribution goals via KPI tracking software

    • Manage division asset inventory, ordering and shipping logistics

    • Act with a sense of urgency on all key deadlines and deliverables 

    • Coordinate meetings and conference calls with MDMs and take notes and distribute to appropriate staff

    • Maintain and communicate program schedules and recap timelines 

    • Participate and document weekly internal division meetings  

    • Assist with updating field training materials and playbooks as needed

    • Comply with all Federal, State and Local laws and requirements as well as COVID 19 protocols and guidelines

    • Prepare PowerPoint presentations for meetings and projects/client programs

    • Assist with creating and approving expense reports

    WAYS TO STAND OUT

    • Bachelor’s degree from an accredited institution preferred

    • 1-3 years of administrative assistance experience

    • Knowledge of food & beverage or consumer goods distribution industry preferred

    • A love for sports, fitness, nutrition, and a passion for building brands 

    • Marketing / Promotional agency experience preferred

    • Strong oral, written, problem solving, motivational, and communication skills

    • Ability to gather information, analyze information and report key insights with recommendations for solutions

    • Ability to uphold the core values of TEAM and our client

    • Exercise high moral character and social responsibility; demonstrate strong interpersonal skills

    • Open to working nights and weekends as required; position may not always involve traditional office hours or weekends off

    • Must be extremely organized and able to multi-task in a fast-paced environment

    • Must have excellent computer skills including Microsoft Outlook, Word, Excel, and PowerPoint
