    Job Description

    Event Assistants and Event Lead Assistant

    TED hosts 4 - 6 events throughout the year out of their New York office that range from 2 - 5 days. We are looking to add to our roster of temporary support for these events. The hourly range for an Event Assistant is $20 - $35 and $35 - $50 for a Lead Event Assistant.

    As an Event Assistant or Event Lead Assistant, you’ll support the NYC TED Theater team in the production of internal and public partner events including multi-track programming, offsite elements and food and beverage experiences. You’ll help ensure that programming runs on time and to TED’s quality standard, acting as the eyes and ears for the TED team and paying attention to the little details that create a memorable experience for attendees.

    You’ll help to set up and strike spaces with furniture, decor and signage, manage event running orders, and support event logistics by liaising with vendors. You’ll manage guest lists, and act as a greeter when attendees arrive, assisting with wayfinding and program-related questions.

    You may also help to supervise crew, delegating duties, ensuring that tasks are being completed in adherence with the event schedule, and overseeing meal breaks and shift clock in and clock out times.

    You'll be a great fit for this role if you're organized, resourceful, calm and discreet when solving problems, capable of following instructions under minimal supervision and happy juggling multiple priorities. This position involves walking and standing for long periods, and being able to participate in some physical work and heavy lifting of up to 50 lbs. Applicants must hold a valid Certificate of Fitness for Citywide Fire Guard For Impairment (F-01) issued by the FDNY.

    Responsibilities

    • Interpret floorplans to assist with event set up; move furniture décor, linen, floral arrangements and rental items, assemble decor items and keep a detailed inventory
    • Setup of all signage and way-finding prior to the event and removal at the end of the event
    • Brief and support the staff working on the event; complete debrief notes post-event
    • Help manage logistics -- vendor deliveries and attendee transport -- according to the event schedule
    • Tear down of events, packing and disassembling furniture and decor, keeping detailed inventory records
    • Manage time effectively, working with your team to prioritize and complete tasks, delegating where appropriate
    • Use mobile devices or tablets to check in attendees for various events or activities
    • Interact with high profile guests and manage stressful or time sensitive situations with calm discretion
    • Welcome and support attendees to help them feel oriented, included and comfortable
    • Represent and exemplify TED’s service ethos - warm, inclusive, welcoming

    Skills + Qualifications

    • Previous event assistance or tourism management experience required
    • Previous customer service or hospitality experience is a strong plus
    • Able to work well under little supervision, with excellent time management skills
    • Strong interpersonal and communication skills
    • Proactive and resourceful
    • Critical thinking and problem-solving skills
    • Organized and detail-oriented
    • Calm, kind and discreet
    • Fluent in English
    • Able to stand for long periods, and participate in physical work and heavy lifting up to 50 lb
